The City of Kettering's Administrative Systems Team is currently seeking a Regular Part-Time Central Receptionist at the City of Kettering Government Center. This position provides administrative support to various city operations as needed, operates a multi-line telephone system, greets visitors and does related work as required. Strong customer service skills, professionalism and the ability to create positive experiences for visitors and callers is of the utmost importance. The work is performed in accordance with prescribed procedures outlined by the Administrative Systems Director.
Qualifications
The ideal candidate will have good knowledge of and skill in the operation of a telephone system as well as computer literacy and ability to use common office software such as email and Microsoft Word. Must have the ability to deal effectively with the general public and City staff and accurately and effectively communicate details such as dates and directions in both verbal and written formats. This position requires knowledge of office terminology and proper usage of English grammar and familiarity with office procedures and equipment and some knowledge of business arithmetic. The ability to learn general terminology specific to local government functions such as permitting and code enforcement as well as understand and follow oral and written directions. Some experience as a telephone system operator or administrative assistant and high school diploma or equivalent or any combination of experience and training which provides the required knowledge, skills and abilities is desirable.

GENERAL STATEMENT OF DUTIES:
Operates a multi-line telephone system, greets Government Center visitors, provides administrative support to various city operations as needed, and does related work as required.
DISTINGUISHING FEATURES OF THE POSITION:

Responsible for clerical work involving the operation of a multi-line telephone system. The work is performed in accordance with prescribed procedures outlined by the Administrative Systems Director.
Examples of Duties
EXAMPLES OF WORK: (Illustrative Only)
  • Answers incoming calls using a multi-line telephone system, directing calls to the appropriate offices;
  • Acts as receptionist at the Government Center, greeting visitors and directing them to proper offices;
  • Gives general information in response to public inquiries;
  • Assists other departments with clerical tasks such as data entry, electronic record keeping and mail preparation;
  • Retrieves messages left on voicemail and reports to proper office;
  • Maintains a current record of changes in office and personnel in order to route incoming calls to the appropriate officials;
  • Maintains current record of calendar events, meetings and activities being held in Government Center conference rooms;
  • Trains relief telephone operators;
  • Performs related work as required;
  • Regular and predictable on-site attendance required.

Typical Qualifications

Retirement Plan
In lieu of Social Security contributions, employees (excluding Patrol Officers and Firefighters) make contributions to the Ohio Public Employees Retirement System (OPERS).

For example, an employee who is in the first category that accrues 10 days per year and is working five four-hour days would accrue ten four-hour days; an employee working five six-hour days would accrue ten six-hour days.

Birthing Parent and Bonding/Non-Birthing Parent and Bonding/Adoption Leave
Birthing parent and bonding leave may be granted with full pay and benefits during the period of pregnancy-related disability and charged to sick leave as appropriate. Additional leave may be available under other leave policies. In certain circumstances, the provisions of the Family and Medical Leave Act (FMLA) may apply. Similar benefits may apply to non-birthing parents and adoptive or foster placements.
Funeral Leave
  • Up to 5 days for spouse, child, stepchild, parent, or parent-in-law
