Job Summary
Serves in a supportive role in the Atmosphere and Hosting Department - as part-time office receptionist.
Essential Responsibilities & Duties:
Main Office Reception:
  • Represent the church culture well to all guests and staff members.
  • Courteously greet all who enter the office in a friendly manner, promptly assisting with their needs.
  • Ensure all incoming calls are answered promptly and courteously to minimize wait times and maintain a positive impression.
  • Transfer all calls promptly, leaving no one on hold for more than 30 seconds.
  • Communicate to security if a concern arises regarding office reception.
  • Connect those needing to talk with a pastor to the POF. Assign an interaction in F1GO to the POF.
  • Forward voicemails and emails from the Answering Service that the church receives when office is closed.
  • Maintain an orderly reception area.
  • Assist with updating changes to the voicemail recordings regarding service times, closings due to inclement weather, and special events.
  • Logs calls when the caller has a concern or an unusual question. Directs concerns and questions to the appropriate Dept.
  • Train and oversee other staff/Dream Teamers to assist in reception area when needed.
  • Aware of what is happening weekly in the church - regarding events - and is able to answer questions correctly and promptly.
  • Remain in reception area unless a temporary backup or replacement is scheduled to cover the phone.
  • While sitting at the desk, assist with administrative tasks as needed.
  • Create Pocket Calendars and Weekly Info for staff and DTers for services.
  • Serve to assist with overseeing reception desk (as needed) during special events.

Mail Delivery to Office Reception:
  • Call/email departments when packages are delivered - asking them to pick up from reception.
  • At the end of the day, place any packages that have not been picked up in the workroom / or if it is an office located in the main office area - place them on the assistant's desk.

Requirements
  • Two (2) years of multi-line telephone or general clerical experience; OR
  • Any equivalent combination of training and experience.
  • Solid knowledge of the James River Church departments and events.
  • Experience in customer service and/or sales.
  • Relevant experience to assist other areas of Office Services preferred.

Knowledge, Skills, & Abilities
  • Outstanding customer service and phone manner.
  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment, as well as English usage, spelling, grammar, and punctuation.
  • Ability to communicate effectively orally and in writing.
  • Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  • Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the general public.
  • Front-line representation and solid knowledge of the James River Church departments and events.
  • Performs other related duties as assigned and required.
