Job description

Cliffs Realty Assistant

The Cliffs Realty Assistant provides administrative support to the Executive Sales Assistant (ESA), Director of Sales (DOS), Property Manager (PM), and Real Estate Operations Managers (REOM) across the Mountain and Lake regions by ensuring homes, listings, and operational activities are fully prepared, maintained, and executed to a consistently high standard. The Cliffs Realty Assistant plays a key role in ensuring a seamless experience for guests, members, and internal teams through hands-on property support, coordination of listing photoshoots, and daily operational execution. Responsibilities include, but are not limited to: supporting home readiness, coordinating property photoshoots, managing inventory and stocking needs, and conducting regular property inspections to ensure homes always remain guest ready and other tasks assigned by DOS, ESA, PM, and/or REOM. The Cliffs Realty Assistant will also be trained in each regional sales office to back-fill various positions and assist with administrative roles, as needed. Additional duties include attending occasional sales meetings, participating in operational and team meetings, and performing other duties and special projects as assigned by the Executive Sales ESA to support business needs. Be able to commute to Lake and Mountain region realty offices. This position is part-time estimating at 20 hours per week.

Job Duties:

  • Support REOM's with the coordination and execution of listing appointments and property photoshoots across the Mountain and Lake regions.
  • Provide ongoing support to the ESA as needed, including assistance with projects, events, and day-to-day operational needs.
  • Provide backup support for Marketing Response Specialist (MRS)/Front desks and administrative roles when needed including Property base utilization for phone coverage, desk coverage, message management, and general operational assistance.
  • Support PM with the preparation, stocking, and ongoing readiness of member and discovery homes for all incoming visits prior to guest arrival.
  • Assist the PM in purchasing and supply management of stocking all homes to maintain guest-readiness standards.

Track and manage all stocking-related expenses alongside the PM to remain within the targeted budget.

Perform home watch responsibilities and weekly inspections across Discovery and Cliffs Land Partner properties, evaluating lighting, plumbing, appliances, and overall condition to ensure homes meet established quality standards.

Conduct pre-arrival walkthroughs and coordinate with maintenance teams and external vendors to address repairs, service needs, and quality standards.

Attend sales meetings, operational meetings, and team trainings as required.

Follow company policies, procedures, rules, and regulatory requirements.

Work in the best interest of the team.

Background/Experience:

  • Excellent word processing skills, including exceptional proficiency in Word, PowerPoint and Excel. Must be proficient in Property base.
  • Strong ability to multi-task while maintaining unwavering attention to details and priorities. Able to bring tasks to conclusion in a timely fashion.
