As a Portfolio Community Association Manager, you'll have the chance to manage multiple associations, oversee financial operations, and contribute to the growth and success of our company.


Position Overview:

We are seeking an experienced, licensed, Portfolio Community Association Manager to join our team. In this role, you will manage a portfolio of community associations, ensuring their efficient operations and financial health. Your expertise in community association management and commitment to delivering exceptional service will be essential to your success. This position will mainly serve our south Atlanta portfolio.


Responsibilities:


Administrative Responsibilities:

ยท Manage a portfolio of community associations, ensuring compliance with governance documents and regulations.

ยท Prepare annual budgets and oversee the financial operations of each association.

ยท Maintain accurate records and documents for each association, including meeting minutes, contracts, and correspondence.

ยท Prepare and present regular reports to association boards.

ยท Coordinate and oversee vendor contracts and services.

ยท Respond to homeowner inquiries and concerns in a timely and professional manner.

ยท Collaborate with the Fieldstone Realty Partners team to provide seamless service to clients.

Physical Management:

ยท Conduct regular site visits to assess property conditions, address covenant violations, and ensure vendor contract compliance.

ยท Manage vendors in ensuring landscaping and pool maintenance meet our company and clients standards.

ยท Assist in negotiating and executing contracts for various services required by the associations.

ยท Ensure emergency situations are addressed promptly and effectively.

ยท Foster positive relationships with homeowners and community members.

Fiscal Responsibilities:

ยท Prepare annual budgets and manage financial operations of each association in accordance with the annual budget.

ยท Report all assessments and other charges due by Owners, maintaining checking, savings, and other income accounts.

ยท Approve all disbursements from assessments collected for normal recurring expenses as provided in the budget.

ยท Furnish a monthly financial statement that includes all income and expenses.

ยท Handle special assessments and additional administrative and collection charges when required.

Covenant Enforcement:

ยท Become familiar with and retain a basic knowledge of the Neighborhood Covenants, By-Laws, and Design Guidelines.

ยท Maintain communication with the Board of Directors/Architectural Review Board and provide advisement on all Covenant Violations or Modifications when requested.

ยท Write and send Covenant Violation letters as needed, as agreed upon by the Board of Directors and/or Covenants Committee.

ยท Serve as a liaison between the Board of Directors and the Associationโ€™s attorney regarding Covenant issues.

ยท Maintain and provide access to all files pertaining to Covenant Violations and Modifications.


Qualifications:

ยท Minimum State of Georgia Community Association Manager license.

ยท Bachelor's degree in Business Management, Real Estate, or a related field (preferred).

ยท Relevant experience in community association management.

ยท Strong understanding of community association governance documents and regulations.

ยท Excellent organizational, communication, and problem-solving skills.

ยท Ability to manage multiple tasks and prioritize responsibilities effectively.

ยท Proficiency in Microsoft Office Suite, specifically Microsoft Excel.

ยท Knowledge of Enumerate Software (Formerly TOPS Software).
