Position Summary
The NetSuite / QuickBooks Administrator is responsible for the day-to-day administration, configuration, and optimization of our accounting and ERP systems. This role serves as the technical backbone of the Accounting department, partnering closely with accounting, finance, and operations teams to ensure system reliability, data integrity, and efficient financial processes across multiple locations. The ideal candidate combines strong systems/technical skills with a solid understanding of accounting workflows.
Key Responsibilities
  • Administer and maintain NetSuite and/or QuickBooks environments, including user access, roles, permissions, and security controls
  • Configure and maintain chart of accounts, subsidiaries, classes, departments, and locations to support multi-entity/multi-location reporting
  • Build, test, and maintain workflows, saved searches, custom fields, forms, and reports within NetSuite
  • Manage integrations between NetSuite/QuickBooks and other business systems (POS, payroll, banking, membership/billing platforms, expense management, etc.)
  • Troubleshoot system issues, data discrepancies, and user error tickets in a timely manner
  • Support month-end and year-end close processes by ensuring system accuracy and resolving technical issues
  • Partner with Accounting leadership to design and implement process improvements and automation opportunities
  • Maintain documentation of system configurations, workflows, and standard operating procedures
  • Manage NetSuite upgrades, patches, and new feature rollouts, including testing in sandbox environments
  • Train accounting staff and end users on system functionality and best practices
  • Ensure data integrity through regular audits, reconciliations, and validation checks
  • Support internal controls and SOX-type compliance requirements as applicable
  • Assist with system migrations, new module implementations, or QuickBooks-to-NetSuite transitions as needed
  • Collaborate with IT and third-party consultants on system enhancements and troubleshooting

Qualifications
  • Bachelor's degree in Accounting, Finance, Information Systems, or related field (or equivalent experience)
  • 3+ years of hands-on experience administering NetSuite and/or QuickBooks in an accounting environment
  • Solid understanding of core accounting principles (GAAP), the general ledger, and financial reporting
  • Experience configuring workflows, saved searches, custom records/fields, and reports in NetSuite
  • Familiarity with integrating third-party applications with NetSuite/QuickBooks (APIs, connectors, or middleware tools)
  • Strong analytical and troubleshooting skills with high attention to detail
  • Ability to translate business/accounting needs into system configurations
  • Excellent communication skills, with the ability to train and support non-technical users
  • Experience supporting multi-location or multi-entity businesses is a plus
  • Ability to manage multiple projects and priorities in a fast-paced, growing organization

Preferred Qualifications
  • NetSuite Administrator Certification
  • Experience in the fitness, retail, or franchise industry
  • Familiarity with membership/billing platforms and their integration into ERP systems
  • Experience with QuickBooks-to-NetSuite migrations

The pay range for this role is:
55,000 - 65,000 USD per year (Stuart Office)
