Position Summary

The Sales Project Coordinator serves as the primary customer‑facing contact during the execution of complex orders and integrated solutions following receipt of a customer purchase order. This role is responsible for coordinating project activities across Customer Service & Sales Support (CSS), Production, Procurement, Finance, Logistics, Sales, and Technical teams to ensure projects are delivered on time, billed appropriately, and communicated effectively to customers. This role focuses on project coordination, customer communication, commercial execution, forecasting, and internal alignment.

In this role, a typical day will look likeCustomer Communication & Project Coordination

Serve as the primary customer contact throughout project execution following order receipt. Lead regular customer status updates and project review meetings. Communicate schedules, milestones, risks, and delivery updates. Ensure customer expectations remain aligned with project status and commitments.

Project Execution & Internal Coordination

Coordinate activities across Production, Testing & Assembly, Procurement, Logistics CSS, and other internal stakeholders. Monitor project schedules and drive cross‑functional action planning to maintain timelines. Track open action items and facilitate timely resolution of project issues and escalations. Support successful completion and handoff of projects.

ERP & Commercial Administration

Manage project order setup and maintenance within the ERP system. Establish and maintain project structures, milestones, and associated documentation. Coordinate setup and procurement of third‑party components required for project delivery. Ensure project records remain accurate throughout execution.

Billing, Revenue Timing & Financial Coordination

Manage milestone billing activities and ensure invoices are issued according to project‑specific billing schedules and contractual milestones. Maintain visibility into active project status, anticipated billing events, and expected revenue timing based on project progress and delivery schedules. Provide regular reporting on project backlog, expected shipment dates, upcoming invoices, and revenue realization timing. Partner with Finance and Operations to identify project delays, schedule changes, and billing impacts that may affect the timing of revenue recognition.

Delivery Management

Conduct regular reviews with Production, Procurement, and Logistics teams to confirm assembly, testing, and shipment readiness. Identify schedule risks and coordinate mitigation plans. Share responsibility with Production for project on‑time delivery (OTD) performance.

Documentation & Governance

Maintain project schedules, meeting notes, action registers, and customer documentation. Ensure project approvals, change documentation, and commercial records are properly maintained. Support continuous improvement of project execution processes and standard work.

The essential requirements of the job include
  • Bachelor's degree in Business, Operations, Project Management, Supply Chain, Engineering Technology, or related field; or equivalent experience.
  • Experience coordinating complex customer orders, projects, or cross‑functional business processes.
  • Strong organizational and communication skills.
  • Experience working with ERP systems.
  • Ability to manage multiple projects simultaneously in a fast‑paced environment.
  • Strong customer‑facing presentation and relationship management skills.
  • Preferred Experience with integrated solutions, capital equipment, manufacturing, or industrial technology projects.
  • Microsoft Project experience.
  • PMP certification or formal project management training.
  • Experience with milestone billing and revenue forecasting.
  • Familiarity with project‑based manufacturing environments.

The below range reflects the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future. The compensation range for this role is $70,000 - $85,000 USD per year. This job is also eligible for Bonus Pay. We offer a comprehensive package of benefits including paid time off, medical/dental/vision insurance and 401(k) to eligible employees.
