Culinary Administrator

Position Summary

The Culinary Administrator is responsible for providing administrative and operational support to the culinary team. This role ensures the efficient day-to-day management of kitchen documentation, purchasing, inventory records, scheduling, vendor communication, and compliance while supporting chefs and management in maintaining an organized and productive kitchen operation.

Key Responsibilities

  • Provide administrative support to the Executive Chef and kitchen management team.
  • Process purchase orders and maintain accurate records of food, beverage, and supply orders.
  • Coordinate with vendors regarding deliveries, invoices, pricing, and product availability.
  • Maintain inventory records and assist with inventory counts and reporting.
  • Track food costs, purchasing trends, and budget expenditures.
  • Review and reconcile invoices for accuracy before submission to Accounts Payable.
  • Maintain employee schedules, attendance records, and timekeeping documentation.
  • Assist with onboarding paperwork and administrative support for new kitchen employees.
  • Ensure all food safety, sanitation, and compliance documentation is current and organized.
  • Maintain recipes, production sheets, menu documentation, and kitchen manuals.
  • Prepare reports related to purchasing, inventory, labor, and operational performance.
  • Coordinate equipment maintenance requests and service appointments.
  • Answer phones, respond to emails, and communicate with internal departments and vendors.
  • Organize filing systems and maintain confidential employee and operational records.
  • Support special events and catering operations with administrative coordination as needed.
  • Perform additional administrative duties as assigned.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • 2+ years of administrative experience in hospitality, food service, catering, or restaurant operations preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience with inventory, purchasing, or food service management software is preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
