Job Overview:

Pharmaron is seeking a highly organized and detail-oriented Logistics & Operations Coordinator to support client sample logistics, cold-chain shipping operations, inventory management, and catalog protein sales support at our Woburn distribution site. This role is critical to ensuring the efficient movement of research materials between Pharmaron China, U.S. clients, and global partners while maintaining compliance with international shipping regulations and biological material handling requirements.

The ideal candidate will thrive in a fast-paced, global environment and possess strong communication skills, operational discipline, and a customer-focused mindset. This position requires close collaboration with clients, carriers, and internal teams across multiple regions to support drug discovery and biologics programs.

Key Responsibilities

Client Sample Logistics, Shipping & Handling

  • Support operational and logistics activities for the Pharmaron Woburn distribution site, supporting domestic and international drug discovery and biologics programs.
  • Coordinate domestic and international sample logistics operations, including cold-chain shipments for recombinant proteins, antibodies, plasmids, peptides, compounds, and other research materials.
  • Collaborate cross-functionally with U.S. clients, global carriers, and internal teams to ensure timely, compliant, and successful shipment execution.
  • Receive client samples from Pharmaron China under dry ice conditions, inspect and repackage materials, and coordinate distribution to U.S. clients.
  • Manage outbound shipments from U.S. clients to Pharmaron China under ambient, refrigerated (4°C), frozen (-20°C, -80°C), and liquid nitrogen shipping conditions.
  • Monitor shipment status and proactively communicate updates, delays, and issue resolution plans to clients, carriers, and internal stakeholders.
  • Prepare and maintain shipping documentation, customs paperwork, import/export records, labeling, and trade compliance documentation.
  • Coordinate with customs brokers, freight forwarders, and logistics providers to facilitate smooth customs clearance and minimize shipment delays.
  • Maintain strong working relationships with logistics and cold-chain shipping partners, including FedEx, BioCair, and other specialized carriers.
  • Support inventory organization, sample tracking, chain-of-custody documentation, and operational recordkeeping to ensure compliance and accuracy.

Catalog Protein Sales Support, Inventory & Commercial Operations

  • Support inventory management and fulfillment operations for Pharmaron's recombinant protein product portfolio.
  • Assist with cold storage management, inventory tracking, sample handling, and order fulfillment activities.
  • Coordinate domestic and international product shipments while ensuring compliance with biological shipping regulations and import/export requirements.
  • Provide client-facing support for catalog protein sales and logistics-related inquiries.
  • Maintain accurate inventory records, shipment tracking information, and operational documentation using internal systems and Excel-based tools.
  • Assist with invoicing, order processing, and operational reporting as needed.
  • Support continuous improvement initiatives focused on logistics workflows, operational efficiency, and customer experience.

Minimum Qualifications

  • Bachelor's degree in Biology, Chemistry, Supply Chain Management, Logistics, Business, or a related field.
  • 1–3 years of experience in logistics, export operations, supply chain, customer support, sales coordination, or related operational roles.
  • Strong proficiency in Microsoft Excel, Word, and standard business software applications.
  • Excellent written and verbal communication skills with a professional, client-facing approach.
  • Strong organizational skills with exceptional attention to detail and documentation accuracy.
  • Ability to manage multiple priorities and deadlines in a fast-paced, global environment.
  • Strong analytical, troubleshooting, and problem-solving abilities.
  • Valid driver's license required.
  • Ability to lift and move packages weighing up to 40 pounds.

Preferred Qualifications

  • Experience working in biotech, pharmaceutical, healthcare, CRO/CDMO, life sciences, or other regulated industries.
  • Familiarity with cold-chain logistics, temperature-sensitive packaging, data loggers, temperature monitoring devices, and excursion management.
  • Working knowledge of international shipping, import/export documentation, customs clearance procedures, and trade compliance regulations.
  • Experience coordinating dry ice shipments and handling temperature-controlled biological materials.
  • Familiarity with inventory management systems, ERP platforms, QuickBooks, or similar operational software.
  • Experience working with carriers such as FedEx, DHL, UPS, BioCair, or other specialized life sciences logistics providers.
  • Mandarin language proficiency is a plus.
