Senior Proposal Coordinator
Job Description:
The Senior Pursuits Associate leads the development of responses to RFQs / RFPs, interview presentations, and award submissions. He/she acts as the marketing point of contact for assigned business units of the company. The ideal candidate is proactive, organized, high-performing, collaborative, and has strong customer service and communication skills. The position requires excellent writing and design layout skills, project management skills, and the ability to work autonomously. The senior associate must multi-task and manage priorities while working under multiple deadlines to resolve complex issues in creative and effective ways. Key to the success of this role is seeking efficiencies, developing process, and driving for results. The senior associate collaborates with business unit leaders, the graphics / branding and communications teams, and other corporate resources. The position reports to a pursuits or marketing manager and works with minimal supervision.
Responsibilities
  • Lead the strategy, coordination, writing, editing, layout, and production of qualifications packages and proposals
  • Collaborate with project teams to develop interview presentation strategy; lead the development of interview materials including presentations, interview books, and handouts; direct presentation rehearsals and ensure the presentation team is well-prepared.
  • Act as point-of-contact for assigned business units; guide them as they need marketing support; maintain project and team knowledge in CRM and other systems.
  • Develop and maintain business unit-specific marketing content including narratives and photography for use in proposals, brochures, collateral, company website, social media, etc.
  • Update and maintain marketing templates including resumes, project sheets, proposal materials, etc.
  • Manage and produce industry and project-specific award submissions.
  • Develop and implement solutions that improve the functionality and efficiency of the marketing department.
  • Carry out departmental goals and contribute to other department's goals. Has ability to own a team tool, resource, or system.
  • Develop and ensure standard best practices and standards for pursuits management.
  • Recommend hardware / software solutions to improve the design product and efficiency of the pursuits team.
  • Serve as a resource to other pursuits associates, including mentoring; may orient, train, assign, and check the work of pursuits associates.
  • Proactively manage and update company information across client prequalification and compliance platforms including cross-functional support and communication with other internal departments and functions.

Qualifications
  • Bachelor's degree in Marketing, Communications, Technical Writing, or Graphic Design, or equivalent work experience.
  • 3-10 years of experience in marketing in a fast-paced corporate environment; experience in the architecture / engineering / construction (AEC) field is required.
  • Excellent technical writing and editing skills are required.
  • High level of working knowledge of Adobe Creative Cloud is required (specifically InDesign).
  • Proficiency in Microsoft Office Suite is required.
  • Experience developing proposals is required.
  • Confidence in leading operations project teams and collaborating with executive leadership individually and in group settings is required.
  • Demonstrated strengths in teamwork, organization, multi-tasking, and project management are required.
  • Ability to prioritize while working in a fast-paced environment with multiple hard deadlines and long-term projects is required.
  • Working knowledge of CRM systems, especially Microsoft Dynamics, is required.
  • Experience directing work is required; experience in managing others is a plus.
  • Experience with client prequalification platforms, especially Avetta, ISNetworld, and Highwire, is a plus.
