We are currently seeking an Administrative Assistant/Proposal Coordinator with experience in the engineering, architectural or construction industries to join our dynamic Team in our York, PA office. This position will play an important role in supporting our design and technical disciplines within York, PA and companywide. The ideal candidate will be self-motivated, a team player, well organized, and adaptable with excellent written, verbal and layout skills. They will work as part of a companywide team to support administrative, marketing and proposal activities for our York, PA and companywide operations. Key responsibilities include: Providing administrative assistance as needed to the technical and management team. Set up and maintain project files (electronic and hard copies). Schedule and book travel arrangements. Distribute incoming mail and prepare outgoing mail and packages. Field phone calls, receive, and direct visitors. Obtaining necessary supplies, equipment, and reference materials for the York office. Researching information. Composing and editing documents and presentations. Updating databases. Setting up and maintaining files. Assisting in producing proposals and marketing materials and preparation for presentations. Preparing staff resumes, project descriptions, and marketing information. Working with graphics teams to create figures/graphics and digital collateral. Proofreading and editing materials for readability and compliance. Participating in QA/QC procedures for deliverables. Requirements: The successful applicant must possess the following: High school degree or equivalent required, Associateโ€™s or Bachelorโ€™s degree in Marketing, Communications, English, Journalism or related field preferred. A minimum of 3 years or experience required. Prior experience working in an Engineering, Architectural or Construction industry preferred. Proficient in Adobe Creative Suite (InDesign and Acrobat), Microsoft Office (Word, PowerPoint, Excel, Outlook), and other digital applications. Strong communication skills, professional demeanor and positive attitude Collaborative work style and highly motivated with strong drive to succeed. Extremely detail oriented and highly organized with strong time management skills. Exceptional organizational skills, including electronic document management. Proven ability to maintain confidentiality, including a high degree of discretion when dealing with confidential information. Ability to multi-task, meet deadlines and adapt to changing priorities Demonstrated ability to work both independently and within a team.
