The Reference Steward will be responsible for triaging and processing incoming requests to provide accurate, updated references to our pharmaceutical client. The Reference Steward will ensure consistency and accuracy in naming conventions, metadata, and anchor annotations.
Specific responsibilities include:
  • Communicate with agencies and job owners as requests are received and processed
  • Triage and process (upload and pre-anchor) incoming reference requests
  • Quality check references to ensure consistency with submission guidelines
  • Input accurate metadata into Veeva Vault PromoMats
  • Audit the reference libraries to address unauthorized uploads and anchors; address, as needed
  • Serve as central point of contact for reference-related inquires
  • Problem solve as issues arise
  • Monthly and yearly results reporting
  • Train agencies and Job Owners as needed (new agencies, new contacts, new processes, etc.)
  • Train new hires (our team and other teams) about our role as it relates to their role and big picture within the promotional marketing process
  • Communicate with marketing, regulatory, and medical brand team members, as needed

Skills and experience:
  • Veeva Vault PromoMats experience highly desired
  • 2-3 years' experience in content review/quality assurance preferred
  • Demonstrated familiarity with references and editorial standards, communication standards, and classification systems
  • Familiarity with PubMed desired
  • High attention to detail
  • Knowledge of library tools, content management systems, and typical resources used in corporate organizations
  • Solid technology background, including Microsoft Office software, Google Workplace and Adobe Acrobat, and familiarity with trends in the delivery and utilization of electronic information
  • Experience working in pharmaceutical industry preferred
  • Prior production experience working with tight deadlines
  • Ability to be flexible and work in a fast-paced environment
  • Process oriented, with an eye for process improvements

The target hiring compensation for this role is $60-70K. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
Additional benefits offered may include: medical health insurance and dental insurance, life insurance, and eligibility to participate in 401k plan with company match (if applicable).
