Job Description & Responsibilities

Persistent Systems is looking for a Project Specialist to join our growing team! The Project Specialist will join our Programs team and will be responsible for working with Program and Project Managers in managing all aspects of existing projects, development projects, pursuingnew opportunities, and developing existing relationships with cross-functional team members. 

Position Responsibilities 

  • Maintain supporting project management data, including project plans, project schedules, project budgets, action plans, labor hours, etc. in support of Project Managers. 
  • Responsible for collecting, organizing, and analyzing data to support deliverable development, purchasing activities, invoicing, and project reporting. 
  • Develop reports on work performed and / or equipment delivered in multiple formats as requested by the Program and Project Manager. 
  • Work with Account Managers to respond to Requests for Information (RFI), Requests for Quotes (RFQ), Requests for Proposals (RFP,) and other relevant requests. 
  • Work with customers to complete required Government forms, as required. 
  • Problem solver / self-starter who is willing to develop processes or methods where none exist to accomplish a task. 
  • Coordinate contract deliverables, documentation, and reporting requirements to support all facets of the Program Management Office (PMO) directly in support of all verticals within Persistent Systems. 
  • Assist with daily duties that support PMO objectives in support of company priorities.   
  • Liaise with the program and project managers within the PMO that support different focus areas.  Act as the primary point of contact that coordinates, organizes and aligns programmatic efforts in line with the PMO goals. 
  • Coordinate logistical support for purchase orders to ensure end users and contracting officers are aware of any changes to schedule, scope or cost. 
  • Coordinate travel arrangements and logistical support for project staff. 
  • Coordinate communication across global teams, including scheduling meetings across multiple time zones, preparing agendas, and maintaining project documentation 
Job Qualifications & Experience

Minimum Qualifications 

  • Bachelor's degree in Business Administration, Computer Science, or similar fields or equivalent experience 
  • Experience with an enterprise resource planning (ERP) system (ex. Infor CSI or similar) performing typical accounting and procurement activities  
  • Experience supporting projects, technology, technical writing, and proposal writing 
  • Experience with network and communications systems 
  • Experience with Adobe, MS Project, MS Teams, MS Excel, and MS Word 
  • Demonstrated experience managing simultaneous tasks and competing priorities 
  • Familiarity with Federal Acquisition Regulations (FAR) 
  • Must be available to travel 20-30% of the time 
  • Must have excellent interpersonal and communication skills 
  • Ability to work with multiple departments within the organization to accomplish tasks 
  • Ability to manage multiple priorities in a fast-paced, dynamic environment 

Preferred Qualifications 

  • Master'sdegree in Business Administration, Project Management, or a similar field or equivalent experience 
  • Must have a United States Secret level security clearance or be able to obtain one 
  • Experience with the DoD Acquisition Process, understanding of the product life cycle 
  • Certification in Program Management (PMP) and CCNA or other similar technical certifications 
  • Experience in managing over $1M projects 

The base pay for this role can vary from $77,000 to $96,000 a year based on individual qualifications. Eligibility for yearly discretionary bonus.
