Job description

We're seeking a Project Document Controller who's ready to put your skills to work on projects that matter - and build a career with a company that's building North America.
Job Title: Project Document Controller | Req ID: 17271 | HR Contact: Taylor J VALLEY| Location: Building Envelope - Corp Nashville, TN
ABOUT THE ROLE:
The Document Controller develops and maintains procedures, standards, submissions, approvals and records of communications associated with the project. The position is critical to the project to preserve history, as well as provide the to the organization, the data and information needed to hand-off the project to the business operations. The Document Controller will learn and use the Procore project management software and have impeccable organization and communication skills.
WHAT YOU'LL ACCOMPLISH:
  • The Document Controller will liaise with the entire project team to gather and organize all project documentation including but not limited to: engineering drawings and documents, specifications, vendor submissions, purchase agreements, communications with and transmittals by contractors.
  • Communicate document needs within the project team and among contractors
  • Develop presentations for and deliver project management software training to the project team members
  • Develop, implement and maintain the Document Control process, assuring document control, cataloging, change control, revision history and archival requirements are met for the project documents.
  • Support the workflow and delivery of required documents for the capital project, overseeing the flow and management of documents from the project team, external engineers and contractors.
  • Manage the interfaces with all parties involved with the Electronic Document Management System (EDMS) ensuring the work flows and distribution matrices are managed for accurate, timely, and efficient information sharing.
  • Identify and mitigate obstacles as necessary.
  • Train team members in processes and document control software as necessary
  • Manage transmittals from the EDMS, coordinate workflow responses for external consultant and contractors and other associated tasks.
  • Interface with external consultants, contractors and other project team members to ensure consistency in processing project documentation, files, engineering and supplier drawings and other project related documents.
  • Manage timely submission of RFIs, Submittals, Change Orders, internal and external claims.
  • Maintain associated logs, distribution and follow-ups to maintain the schedule of submission and resubmission
  • Distribute project documents to project team for review and comment
  • Prepare and issue monthly reports on the project
  • Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors.

WHAT WE'RE LOOKING FOR:
  • Education: Bachelor's Degree
  • Field of Study Preferred: Business, Engineering, Quality, Finance, Accounting or other business-related field
  • Minimum 5 years experience with maintaining document management systems on large projects
  • Proficient in Microsoft Office Suite
  • Experience working with Procore or similar project management software
  • Travel: occasional, but regular overnight travel to the project site for meetings and presentations

Additional Requirements:
  • Demonstrate detailed and efficient organization skills
  • Demonstrate excellent oral and written communication skills
  • Work well under pressure to meet project deadlines
  • Show high levels of commitment to detail
  • Familiarity with capital projects including engineering and construction is a plus
  • Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators.
  • Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit test.
