JOB SUMMARY:

This position is responsible for facilitating federal projects through the life of the project, from carrying out administrative functions to supporting energy guarantee reporting. This position will be assigned to projects where a thorough background check is required to work on projects. The Project Facilitator will conduct quality assurance assessments and reporting to internal and external associates. It is expected the Project Facilitator will support the project through all phases including development, construction/ implementation, and performance period continually reporting to the Principal Engineer for Energy Projects.

DUTIES/ RESPONSIBILITIES:

  • Assist with project planning and creative problem solving.
  • Coordinate project meetings with internal team members, customers, and/or utility companies, subcontractors, or other project Prepare or assist in the preparation of meeting materials and agenda, take detailed minutes, and distribute to internal project team members.
  • Assist development and implementation of policies and procedures, best practices, and training as they relate to specific project and general federal requirements; maintain and distribute policies/procedures published by federal agencies or other governing entities.
  • Assist the Principal Engineer with project paperwork to be completed and reviewed for quality assurance prior to submission internally or externally; write and proofread documents, including writing or contributing to reports and/or proposals.
    • Develop processes and best practices for completion of required reporting.
    • Coordinate with the internal project team members and project manager, utility companies, customer representatives, and external agencies as necessary for timely submission.
    • Generate and organize project related documents for ECM completion reporting, including ECM approval forms, M&V documents, and O&M files, ensuring construction project manager completes forms with owner acceptance sign-off.
  • Develop and maintain project data bases; data entry and regularly perform quality assurance and quality control of data.
  • Maintain tracking reports and documentation.
  • Maintain project files; ensure organization for project team accessibility and review, and ensure files are stored securely as defined by the project, federal guidelines, and/or internal policies and practices.
  • Monitor progress of the project and communicate updates to the Energy Engineering and Operations teams, including the status of completed tasks and status of specific tasks to be performed by self and team members.
  • Build rapport and productive working relationships with co-workers, agency personnel, vendors, and other outside stakeholders; call companies, including utilities and subcontractors, to gather information as needed.
  • Maintain request for information (RFI)logs and other logs as necessary during project development.
  • Report to the project manager(s), development and construction, any issues that will affect owner satisfaction, energy guarantees, and/or gross profit redemption.
  • Ensure documentation of all changes in scope of work, including energy-related revisions and pricing, as notified by the construction project manager for Energy team implications, including financing.
  • Communicate the basis of the energy guarantee to the construction project manager and report any discrepancies to the project Energy Engineer immediately.
  • Assist price reasonableness efforts including pre-qualification of potential subcontractors and initial development of bid packages.
  • Assist product selection efforts to confirm Buy American Act (BAA)conformity and documentation.
  • Coordinate with Safety Manager and other departments to ensure active involvement during development to meet all owner requirements, potentially including Site Specific Safety Plans, Accident Prevention Plans, Quality Assurance Plans, etc.
  • Work with Human Resources to organize internal project personnel information for required reporting, including requirements of federal contractors.
  • Other duties as assigned to support the success of the project.
  • Redeem gross profit through effective and persistent administration of the responsibilities and obligations associated with the performance of the work.
  • Provide support for any special projects assigned by the Energy Services Manager/Principal Engineer.

QUALIFICATIONS:

  • Bachelor's degree in a related field
  • Minimum of 3-5years of administrative and/or operations experience
  • Prior project facilitator experience preferred
  • Proficiency in MSOffice: Microsoft Word, PowerPoint, Excel is required
  • Driver's license and reliable transportation required for occasional travel to customer sites if needed
  • Ability to comply with and successfully complete company and federal background check processes

WORKING CONDITIONS

This job operates primarily in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
