Job Summary:

Panelmatic Field Service Operations is seeking a detail-oriented experienced Field Service Project Coordinator. The FS Project Coordinator plays a key role in facilitating the successful execution of Installation, modification, and repair projects within the organization. Their responsibilities involve supporting the project management team, ensuring effective communication between team members, customers, and vendors, and maintaining project documentation.

The key operation of this role requires cross-functional collaboration with project managers, other internal stakeholders, and clients to ensure the successful delivery of the designed and manufactured product.

The ideal candidate thrives in a fast-paced environment where quick action, clear communication, and accurate documentation are essential to success.

Job Duties:

  • Facilitate communication among Field Service technicians and leadership, Panelmatic project managers, other internal stakeholders, customers, and suppliers.
  • Develop and maintain the Open-Issues Log (OIL) for Field Service Operations.
  • Assist with expediting component shortages.
  • Serve as a liaison between project team and other internal and external departments.
  • Organize and categorize documents for easy retrieval.
  • Monitor and track the distribution of documents to ensure that the field teams have the documentation required to complete the projects.
  • Coordinate with relevant internal and external stakeholders to execute key project deliverables.
  • Track project progress by identifying potential issues and risks.
  • Escalate project issues and risks.
  • Schedule, organize and facilitate meetings.
  • Document internal and external meeting minutes.
  • Maintain project BOM and other ERP requirements, and coordinate with Procurement to ensure material flow.
  • Monitor invoicing status with FS leadership team.
  • Assist with project progress tracking, performance tracking, and KPI updates for leadership review.

Requirements

  • Proficiency in MS Office and Adobe required
  • Detail-oriented and ability to work on multiple projects simultaneously required
