Job description

Overview
BerryDunn is seeking a Project Coordinator to support Hawai'i Med-QUEST's business process redesign and organizational implementation efforts. This role will help keep a complex, high-visibility implementation effort organized, aligned, and moving forward across multiple workstreams, project teams, and stakeholder groups.
In this role, the Project Coordinator will support project leadership by coordinating meetings, managing schedules, tracking action items, maintaining project documentation, and supporting clear communication among stakeholders. The coordinator will work closely with project managers, business teams, policy staff, and operational stakeholders to monitor progress, support project planning, and help ensure activities remain aligned with project goals, timelines, and implementation priorities. This role will also support consistent use of Jira as a shared project management tool, helping maintain visibility into project activities, tasks, milestones, risks, blockers, and dependencies across workstreams.
Travel expectations: This role may require travel up to 25% of the year.
You Will
  • Coordinate project meetings, schedules, stakeholder communications, and follow-up actions across internal and client-facing forums.
  • Maintain Jira records and dashboards to support visibility into project tasks, milestones, deliverables, risks, blockers, dependencies, ownership, and timelines.
  • Track project milestones, action items, risks, dependencies, cross-team needs, and readiness activities across workstreams.
  • Prepare, route, and track meeting notes, project materials, and document review workflows in alignment with project standards and timelines.
  • Maintain organized project documentation in SharePoint/KL, including templates, meeting materials, status updates, version control, and file naming conventions.
  • Support weekly, monthly, semiannual, and annual reporting and closeout activities by compiling updates, organizing artifacts, and maintaining links to deliverables.
  • Support Steering Committee and onsite work session preparation, logistics, note-taking, action tracking, and follow-up.
  • Assist project leadership with implementation planning, progress monitoring, invoicing support, financial tracking coordination, and timely completion of deliverables.

You Have
  • Experience supporting project coordination, administration, or implementation activities.
  • Experience scheduling meetings, tracking action items, and maintaining project documentation.
  • Strong organizational, communication, and stakeholder management skills.
  • Proficiency with Microsoft Office, Jira, SharePoint, Microsoft Teams, Outlook, or similar project coordination and tracking tools.

Preferred Qualifications/Experience:
  • Bachelor's degree, associate degree, or equivalent relevant experience in project coordination, administration, business, public administration, healthcare, or related field.

Compensation Details
The base salary range targeted for this role is $75,000-$95,000. This salary range represents BerryDunn's good faith and reasonable estimate of the range of possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final salary range may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The salary of the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
