Job description

The Project Coordinator will work closely with Senior Project Coordinators and their internal teams to support the successful execution of furniture projects from order placement through delivery.This position plays a critical role in maintaining accurate information, ensuring timely communication with vendors and team members, and helping projects stay on track.


This role is designed to provide a strong foundation in project coordination within the contract furniture industry. As Project Coordinator you can expect to develop a comprehensive understanding of workflows, vendor management, and client support while working alongside experienced professionals. As knowledge and experience grow, you will be encouraged to take on increasing levels of responsibility and ownership.


Job Responsibilities

  • Support Senior Project Coordinators with project administration and order management
  • Serve as the primary point of contact for vendors
  • Enter and process customer orders accurately and efficiently
  • Review vendor acknowledgements for pricing accuracy
  • Work with team to resolve pricing and/or specification discrepancies and update
  • purchase orders accordingly
  • Initiate and track payment of vendor deposits to ensure order is in process
  • Maintain order status report ensuring information is accurate and current, call out any lead time concerns, shipment delays
  • Track product shipments, record tracking information in status report, confirm arrival dates
  • Assist with receiving product into the system
  • Call out any damaged or missing product and assist with resolution
  • Help maintain vendor database by collecting and updating vendor W-9 form, confirm account number, obtain key contacts for order entry, remit to and vendor rep
  • For online vendors, update the shared password spreadsheet as needed
  • Maintain transparent and proactive communication with the team regarding project timelines, milestones, and expectations


Qualifications

  • Minimum of one (1) year of experience in the contract furniture industry or similar administrative field
  • Excellent verbal and written communication skills
  • Highly organized with the ability to manage multiple projects simultaneously
  • Ability to take direction and follow instructions from senior level project coordinators
  • Effective collaboration and communication with internal teams
  • Proficiency in business-related software
  • Ability to calculate vendor net/sell discounts and conduct basic financial analysis
  • Self-motivated and proactive, able to work both independently and within a team
  • Knowledge of contract furniture products and manufacturing processes
