POSITION OVERVIEW:

ADB is seeking a Project Controls Specialist to perform critical administrative functions within the Project Controls group. The Project Controls team provides administrative support on various functions of the Project Management lifecycle including billing, permitting, close out and production tracking. This position will be a subject matter expert of billing and close out processes within the department ensuring quality, efficiency and standardization. The ideal candidate will have extensive administrative knowledge and experience, possess a high level of attention to detail with a strong work ethic and ALL IN attitude to achieve results.
ROLES AND RESPONSIBILITIES:
  • Provides high-level administrative support within the Project operations team, including but not limited to, reporting, billing, project closeout, purchase orders, permitting, etc.
  • Acts as the key seat to the Project Controls Manager; leads by example and can train, coach, and mentor Project Coordinators within the team
  • Subject Matter Expert of project billing processes and analytics; is forward thinking and has full understanding of billing data including revenue assurance
  • Highly accountable to complete billing milestones on a consistent basis; reviews aging reports and drives solutions proactively
  • Performs project closeout tasks including final billing true up, inventory allocations, partners invoice reconciliation, release of liens, etc.
  • Collect, analyze, and report on various items within multiple customer systems
  • High level of professionalism to communicate directly with customer contacts on aged receivables and/or change order discussions
  • Ability to review and understand construction drawings and specifications
  • Knowledge of regulations driven by local and state municipalities (public safety, traffic control, right of ways, etc.)
  • Strong communication and collaboration skills; problem solves at a high-level for internal stakeholders, subcontractors, vendors, customers, operations managers, etc.
  • Highly interdependent with operations teams and leaders; provides regular reporting on various items including close out status, invoicing results, production trends, etc.
  • Fully understands and adheres to department standards and processes; trains and drives accountability throughout the team to follow standards
  • Performs other position duties when requested

EXPERIENCE AND EDUCATION:
  • 3+ years of high-level administrative experience supporting project management teams required
  • 1+ year of invoicing, finance, accounting experience required
  • Previous experience supporting construction, engineering, and/or procurement teams preferred
  • High School diploma or equivalent required

The starting pay for this position is $22.00 per hour and may vary based on the candidate's skills, experience, and qualifications.
This role will be hired and have a targeted start in April 2026.
