Job description

Audubon is currently seeking Project Administrators to work within our Right of Way (ROW) Department at our offsite offices in Arizona and Utah. The Project Administrator will provide a wide variety of administrative support to the ProjectTeam in a dynamic and fast paced environment. This position willpreparevarious documents,maintainproject files and databases, and ensureadherence to standard procedures while developing familiarity with industry terminology and project control processes.

PRIMARY RESPONSIBILITIES:

  • Completes work according to standard procedures on assignments from the assigned Project Team.
  • Prepares memos, letters, meeting minutes,formsand other documents.
  • Generates reports to support project function.
  • Enters, updates, and maintains data within project database.
  • Edits and formats documents prepared by other team members to conform to Audubon standard formats.
  • Organizes andmaintainsproject files and project Share Point site.
  • Reports administratively and receives direction from the Managers of Projects and functionally to the assigned Project Leader.
  • Develops familiarity with basic Right of Way terminology and processes, including tract and parcel identification, landowner and ownership records, title and vesting documents, legal descriptions and plats, survey permissions, easements and agreements, acquisition status, payment documentation, and recorded instruments.
  • Uses the following office equipment, such as PC's, printers, fax machines, copiers, telephone equipment, and various other office machines to complete work.

  • All employees are responsible for supporting Audubon Companies' Health, Safety, and Environmental (HSE) policies and procedures. This includes:
  • Performing duties in a manner that protects personal and team health and safety
  • Participating in required HSE training, meetings, and reporting activities
  • Identifying and reporting hazards, near misses, and unsafe conditions
  • Following safe work practices and complying with applicable regulatory requirements

EXPERIENCE AND SKILL REQUIREMENTS:

Required / Preferred Education & Experience

  • High School Diploma AND 3+ years of relevant experience
  • Proficiency in Microsoft Office and document management systems.
  • Excellent communication and organizational skills.
  • Strong time management skills with the ability to manage multiple priorities.
  • Capable of reviewing and approving deliverables for consistency and presentation.
  • Ability to work independently within established guidelines.
