Job description

POSITION SUMMARY

The Project Assistant provides administrative and project coordination support for assigned training and operational programs. This role assists with tracking project scope, cost, schedule, staffing, documentation, compliance requirements, equipment needs, subcontractor and vendor coordination, invoicing support, and customer service activities. The Project Assistant works with internal departments, service centers, support groups, vendors, subcontractors, and customer representatives to help ensure program requirements are completed accurately, timely, and in accordance with company procedures and customer expectations.

RESPONSIBILITIES

  • Supports the development and tracking of project scope, cost, schedule, staffing, and performance requirements
  • Ensures customer service expectations, company processes, and established procedures are followed
  • Prepares, reviews, and maintains required reports and documentation to support company and program requirements
  • Coordinates with company service centers, internal departments, and support groups to meet program requirements
  • Serves as a liaison with customer representatives, vendors, and subcontractors as directed
  • Assists in monitoring project execution against established requirements, including cost, schedule, quality, and performance expectations
  • Verifies required training documentation, and master file submissions are complete and accurate
  • Ensures personnel have authorized equipment and that applicable Constellis compliance guidelines and procedures are followed
  • Serves as the primary point of contact for personnel or student issues, concerns, and escalations
  • Perform other program management duties as assignedand as needed by program

QUALIFICATIONS

  • Previous administrative, project coordination, operations support, training coordination, or related program support experience
  • Ability to coordinate with internal departments, service centers, vendors, subcontractors, customers, and other stakeholders in support of program requirements
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
  • Effective oral and written communication skills with the ability to prepare documentation, share information clearly, and respond professionally to inquiries
  • Strong attention to detail with the ability to prioritize tasks, meet deadlines, adapt to changing priorities, and complete assignments accurately

WORKING CONDITIONS

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday standard core hours, however some extended or weekend hours may be required.
