We are currently seeking a Project Assistant to support our Business Combinations and Capital Transactions practice group with a blend of administrative coordination, legal project support, and client-focused service. This role is ideal for a detail-oriented, highly organized professional who enjoys working collaboratively with attorneys and legal business professionals while building experience in a dynamic law firm environment.

This position can be based in Lexington, KY or Louisville, KY.

Key Responsibilities:

  • Input data into excel spreadsheets and reformat existing excel spreadsheets.
  • Assist with managing trade compliance records.
  • Assist with agency filings with the U.S. Department of Commerce (DOC), U.S. International Trade Commission (ITC), and U.S. Customs and Border Protection (CBP).
  • Edit and proofread legal documents.
  • Conduct legal research and prepare case summaries.
  • Draft legal correspondence.
  • Organize case files, manage correspondence, track regulatory deadlines, and prepare exhibit binders for client meetings and hearings.
  • Maintain case pleadings folders.
  • Assist with the preparation and processing of certified mailings.
  • Assist with the preparation of closing documents.
  • Create and maintain electronic and paper client files and indexes for legal business professionals in office. Perform routine filing and retrieve files as needed.
  • Assist attorneys and legal practice assistants with billing and invoice tasks as requested.
  • Assist with file organization, including review and organization/streamlining of incoming document productions.
  • Maintain various electronic databases.
  • Perform general office and administrative duties, including collating and assembling documents, accepting and delivering interoffice correspondence, photocopying, scanning, and faxing.
  • Work cooperatively with other departments within the firm.

Job Requirements:

  • Bachelor’s Degree completed or nearing completion.
  • Minimum 1 year of office experience.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to concentrate and pay close attention to detail when evaluating legal matters.
  • Ability to proofread typed material for contextual, grammatical, typographical, or spelling errors.
  • Interpersonal and professional skills necessary to communicate in person, by e-mail and telephone and follow instruction effectively from a diverse group of clients, attorneys, and staff.
  • Ability to work collaboratively and cooperatively with others in a team-oriented environment.
  • Ability to work additional or irregular hours as needed to meet business and client service needs.
  • Ability to operate standard office equipment such as computer, photocopiers, scanners, etc.
