The Survey Project Assistant provides essential administrative and project coordination support to BKF's Land Surveying team. This role partners closely with Project Managers and survey staff to help keep projects organized, contracts and documentation on track, and field resources scheduled. While supporting timely client communication and accurate project set-up, reporting, and workflow tracking in Deltek.
Responsibilities
    • Support Survey Project Managers with project administration, including additional service requests/change orders, contract documentation, and accounts receivable follow-up
    • Coordinate and help schedule field crews, including tracking availability, jobsite needs, and required site access
    • Coordinate badging, site access, and other onboarding requirements for field staff and visitors as needed
    • Track contract status, key project milestones, and required documentation; follow up with internal teams and clients to keep items moving
    • Request Certificates of Insurance (COI) and support collection/organization of other compliance documents
    • Set up new projects and maintain project information in Deltek (including project start-up paperwork and data integrity of key fields)
    • Generate routine reports in Deltek and help maintain opportunity/pipeline tracking as needed
    • Meet regularly with Project Managers to capture and review work-in-progress commitments and upcoming workload
    • Assist with proposal and pursuit support, including assembling materials and coordinating internal inputs
    • Manage project files and document control (electronic and/or hard copy) in accordance with BKF standards
    • Support client correspondence and routine coordination (meeting scheduling, follow-ups, and distribution of project information)
    • Manage field work authorization tags (FSS field tags) for timesheet programs for Union field survey crews
    • Perform other duties as assigned; periodic travel to job sites and/or other BKF offices may be required

Requirements
  • 2-5 years of experience in a project assistant, project coordinator, or administrative support role (AEC/engineering/surveying industry experience preferred)
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines in a fast-paced environment
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort learning new systems; Deltek (Vision/Vantagepoint) experience is preferred
  • Professional, clear written and verbal communication skills; able to coordinate effectively with clients, field crews, and internal project teams
  • Ability to work independently and collaboratively, maintaining discretion with sensitive project and financial information
  • Valid driver's license and ability to travel periodically to job sites and/or other BKF offices as needed

Physical Demands: Must be able to regularly talk, hear and operate a computer, keyboard and mouse and occasionally lift, pull/push and carry up to 20 pounds with accommodations.
Work Conditions: Exposure to constant or intermittent sounds at a low or moderate level consistent with an office setting. Exposure to high-stress, fast-paced, deadline-oriented environment. Travel to other BKF locations and client sites may be required.
