Job description

Job Description: JOB SUMMARY
The Project Assistant performs all administrative support tasks associated with a project. The Project Assistant works closely with the project managers, project engineers, and technical writing staff to ensure that all project documentation is produced according to client and Anvil procedures. The Project Assistant also works closely with the Branch Manager in the day-to-day management of the office.

RESPONSIBILITIES AND DUTIES
Assist with written project communications and deliverables to clients and vendors. Familiarity working with engineering specifications and drawing packages is a plus.
Must possess strong writing, proofing and editing skills. Review and proofread all outgoing materials; ensure their completeness and compliance with company and client guidelines.
Act as a liaison between the engineers and technical writers, to ensure that all written communications and documents submitted to the client are prepared according to Anvil quality standards.
Answer questions from project team members regarding procedures, formatting, and software applications.
Organize and preserve electronic files in accordance with company guidelines.
Provide backup for other project assistants on project and tasks.
Arrange, schedule, and attend project meetings with the ability to take meeting notes and distribute to all attendees.
Track status of RFI’s to and from external parties.
Maintain MS project schedules with input from project team.
Track status of applicable government permits.
Provide administrative and facility support to the Branch Manager in all aspects of maintaining the office.
Coordinate all activities associated with preparation of offices/cubes for personnel changes; prepare spaces for occupants including furniture, phones and computers.
Coordinate all activities associated with onboarding new hires; provide instructions regarding paperwork and safety training requirements and submit completed forms to HR.
Make travel arrangements and coordination as needed.
Manage office supplies and equipment.
Manage office mail and courier services.
Manage Anvil vehicle fleet activities to ensure vehicles are consistently ready for service.
Manage branch staff credit cards, and security system.
Company event planning and implementation.
General duties related to maintaining the office.
Perform other duties as assigned.

REQUIRED SKILLS AND ABILITIES
Proficiency in Microsoft applications with an ability to learn new software programs as required.
Excellent organizational skills, with the ability to coordinate and prioritize tasks and projects.
Demonstrates good verbal and written communication skills, rules of grammar, punctuation and spelling.
Flexible – must be able to juggle multiple demands on time and resources with a positive attitude.

EDUCATION AND EXPERIENCE
High school degree or equivalent
3+ years administrative experience
Previous office management experience an asset.
Experience with engineering consulting firms or petroleum refining industry preferred.

PHYSICAL REQUIREMENTS
Able to sit for long periods of time.
Must be able to lift up to 15 pounds at a time
Applicants must be cable of passing pre-employment drug and alcohol screening.

REQUIRED DOCUMENTATION
Applicants must possess a valid driver’s license.
Applicants must be able to obtain a TWIC card.
