The Administrative Assistant is a representative of GT Independence who provides phone, e-mail, and face-to-face personal service to people served, employees of GT Independence, and their partners. The Administrative Assistant performs general clerical duties.

RESPONSIBILITIES AND DUTIES

  • Answer telephones and transfer to appropriate individual or queue.
  • Meet and greet visitors to the office.
  • Open, log, and distribute all incoming mail appropriately.
  • Pick-up and deliver mail from and to post office and package delivery company when necessary.
  • Sign for and distribute UPS/Fed Ex/Airborne packages.
  • Create and modify documents using Microsoft Office products.
  • Assist in preparation of regularly scheduled reports.
  • Download and distribute incoming faxes.
  • Process documents following established policies and procedures.
  • Setup and coordinate meetings and conferences.
  • Arrange travel reservations when necessary.
  • Document meeting minutes.
  • Research and gather information.
  • Maintain inventory of general office supplies.
  • Draft communications.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, scanning, and filing.
  • Maintain electronic filing system.
  • Operate postage machine when necessary.
  • Develop and update administrative systems to improve efficiency.
  • Coordinate repairs to office equipment.
  • Support staff in assigned project-based work.
  • Maintains confidentiality of records relating to clients
  • Uphold Company mission and values
  • Other duties as assigned.

EDUCATION

  • High School Diploma or equivalent (GED)

EXPERIENCE AND QUALIFICATIONS

  • At least one year of related experience
  • Competent in the use of Microsoft Office programs and the Internet
  • Excellent written and oral communication skills
  • Knowledge of basic administrative procedures and terminology
  • Ability to participate in a team environment

  • Work is performed in a typical office setting.
