Job Summary
U-M Architecture, Engineering and Construction is looking for an administrative assistant to join our team. You will provide a variety of administrative support to the Construction Services project managers. We work with senior leaders, faculty, staff and students across campuses, departments, colleges, and units. Work will be on-site in Ann Arbor, MI.
What You'll Do
Reporting to the Manager of Construction Services, you will support project managers and supervisors with the following project execution duties:
  • Setup and maintain project master files and logs
  • Help with assembly of close-out materials, such as: warranty contact information, warranties and missing pay applications/quotations. Inspection certificates. Commissioning documents
  • Help update project manager's record drawing set with all applicable addendum, bulletins and change order documentation.
  • Help coordinate contract change documentation, such as CCD, bulletin, and change orders.
  • Schedule and maintain electronic calendars to support the project managers and supervisors. Meet with project managers and supervisors biweekly to review projects and related tasks.
  • Organize RFIs and submittals
  • Collect safety reports, review, record, prepare incident reports, and route them
  • Employ basic reasoning skills and provide provide accurate work products

Required Qualifications*
  • High School diploma or associates degree, including courses in business practices, or an equivalent combination of education and experience
  • Four or more years of experience performing administrative responsibilities
  • Four or more years of supporting managerial level positions
  • Experience with advanced business software and computer applications, such as Google collaboration tools, Dropbox, and similar platforms
