Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include orgianizing project related documents, enter billing information, helping office staff organize and keep track of projects and materials. Duties will also include working with pay applications and interacting with other client personnel as it relates to billing and project invoicing. Other dueis  answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. Additionally, duties will include tracking budgets, submitting and organizing pay applications, keeping track of orders and other project related tasks. The position may also involve helping organize and prioritize bids and ITBs the company receives from clients. The position will also be responsible in assisting in the project scheduling and vendor coordination for 75+ annual commercial installs. Position may be part time for the right candidate. 
Responsibilities 
  • Enter billing and invoicing for projects and project related purchases
  • Schedule appointments and maintain a calendar
  • Organize meetings, submittals, documents and other project related files
  • Help to maintain bidding schedules and other customer related requests.
  • Contribute to company reports
  • Maintain an organized filing system
  • Develop, update, and maintain relevant office procedures
Qualifications
  • High school diploma/GED required, Associate’s degree or administrative training is preferred
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint and QuickBooks online
  • Highly organized with excellent time management skills and the ability to prioritize projects
