Job Description
The Program Specialist provides operational support, team coordination, and data management support for the Talent Management and Research team. This role focuses on organizing meetings, maintaining trackers and documentation, coordinating with vendors and internal partners, and supporting the day-to-day execution of team initiatives such as designing and building new hiring assessments and supporting new strategy and technology for our global interview process. The position emphasizes strong organization, attention to detail, and reliable follow-through.
This role focuses on operational execution, task tracking, data organization, as well as process improvement and automation. This role is well suited for an early-career professional who enjoys being organized, keeping things moving, and supporting a team's day-to-day work. The ideal candidate is comfortable working behind the scenes to coordinate logistics, maintain documentation and data trackers, and ensure details are handled accurately and on time.
CANDIDATE PROFILE
Education and Experience
Required
  • Bachelor's degree in Business Administration, Human Resources, or a related field preferred or equivalent work experience

  • 0-2 years of relevant experience in an administrative, coordinator, analyst, or support role

  • Experience working with Microsoft products and data management tools

Preferred
  • Experience in Human Resources or related corporate environments preferred but not required

  • Experience in data management preferred

CORE WORK ACTIVITIES
  • Provide general operational support including scheduling meetings, creating agendas, taking notes, tracking follow-ups, and maintaining documentation.

  • Support team projects by tracking tasks, deadlines, and deliverables, and helping ensure work progresses smoothly.

  • Coordinate meetings and communicating with internal partners, vendors, and subject matter experts.

  • Assist with vendor coordination, including meeting logistics, document sharing, and basic communication.

  • Maintain and update trackers, dashboards, and reports; work with data to support team insights and decision-making.

  • Help organize, document, and improve team processes, including identifying opportunities for increased efficiency and basic automation

  • Support content reviews, file management, and version control across multiple projects.

  • Troubleshoot day-to-day issues and escalate appropriately when needed.

  • Provide flexible support to team initiatives as assigned, including ad hoc requests and new priorities.
