Job Description:
The Training Coordinator is responsible for leading administering and managing Work-Based Learning accounts that include Individual Training Accounts (ITAs), Apprenticeships, Paid Work Experience under workforce development programs (e.g., WIOA). This role ensures eligible participants receive funding for training programs aligned with in-demand occupations, while maintaining compliance with federal, state, and local policies. The individual is the coordinator overseeing the individual throughout the training lifecycle.
Key Responsibilities:
  • Explain, complete, and update ITA agreements with training providers
  • Review invoices from providers for accuracy before processing for payments
  • Upload documentation such as licenses etc. into the State’s system
  • Provide quality analysis to ensure participants' cases meet criteria for reimbursement
  • Host quarterly meetings with providers to ensure an understanding of local policies as it relates to the reimbursement process
  • Assist with processing supportive services including reviewing supportive services forms, contacting client to verify addresses (if needed), creating vouchers, ordering items and verifying receipt
  • Explain the assessment and other service processes to customers; provide written materials about the program and its services, answer questions and explain program benefits
  • Assist with generation of reports, including data gathering via the computer system, printed reports, or other available information
  • Conduct additional customer outreach (training providers) to ensure engagement throughout the service participation processes
  • Maintain records related to the assessment and service processes in support of assessment and service delivery staff (scan documents, record activities in the management information systems of record)
  • Ensure customer files are complete and that all documents are appropriately signed off
  • Maintain shared drive for the project
  • Duties may vary depending on programmatic areas of assignment
  • Other duties as assigned

Qualifications:
  • Bachelor’s degree preferred or equivalent combination of education and experience
  • Four years direct customer service experience preferred
  • Experience in a fast-paced, team environment that is performance driven
  • Excellent organizational skills and strong attention to detail
  • Ability to use various electronic systems to carry out duties and responsibilities

Additional Skills and Attributes:
  • Strategic thinking; ability to operationalize department workflows in a fast paced environment
  • Ability to gather and synthesize information from a wide variety of people and sources.
  • Proficiency in Microsoft Office with advanced knowledge of Excel required (pivot tables and report building, etc.). Experience using AI tools like ChatGPT, and Copilot
