Job description

Summary
The position is located in the office of the Chief of Medical Service and reports to the Supervisory Health System Specialist. The incumbent performs a broad range of clerical and administrative tasks for designated clinical sections of Medical Service.
DIRECT HIRE AUTHORITY: This position is being filled using Direct-Hire Authority (5 CFR 337.205) for this occupation.

Duties
Help
The incumbent participates in the management of the designated clinical sections by performing routine administrative and miscellaneous clerical work. The Administrative Support Assistant performs a wide variety of administrative tasks associated with maintaining and supporting the work performed within the organization. The core duties of this position include but are not limited to:
  • Maintain manual files and retrieve data as needed.
  • Communicate with various contacts at various organizational levels
  • Maintain timecards
  • Monitor suspenses for follow up and needed action.
  • Requisition, purchase, storage and maintenance of stock levels, installation, repair, maintenance, and disposal of office equipment.
  • Training Management System (TMS) Coordinator
  • Collect Relative Value Units (workload data) from attending physicians to analyze, interpret and complete reports for the designated clinical sections
  • Collaborate with HR, Budget, Procurement, purchasing, and management.
  • Receive, assign, and monitor externally and internally generated correspondence and inquires.

You may qualify based on your experience as described below.
TO QUALIFY FOR THIS POSITION AT THE GS-6 LEVEL YOU MUST MEET ONE OF THE FOLLOWING CRITERIA:
  • GS-6 SPECIALIZED EXPERIENCE: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Qualifying specialized experience is defined as:
    • Utilizing Microsoft products (i.e., Word, Excel, Power Point, Teams) and Adobe Pro.
    • Developing executive-level correspondence, professional reports, and is responsible for the accuracy and timeliness of submissions of all correspondence.
    • Receiving and reviewing incoming and outgoing suspense and correspondence for quality, consistency, grammatical, and procedural correctness.
    • Developing performance monitor reports for quality assurance and ensuring the facility is meeting deadlines.
    • Serving as a government purchase card holder for service.
    • Posting Time and Attendance in VATAS.

***Preferred experience with Microsoft VISIO and Power BI.
