Job description

Administrative Support Assistant

The Administrative Support Assistant plays a vital role within the Undergraduate Programs Office, providing essential administrative support to ensure the efficient operation of office functions. This multifaceted position encompasses various responsibilities, including office management and support, petition processing, event coordination, and student worker onboarding and payroll. The ideal candidate will possess a combination of high-quality service, administrative skills, attention to detail, and a commitment to supporting student success.

Responsibilities
  • Provide office management functions, including reception and customer service duties, academic advising appointment check-in process, calendar maintenance, communication with internal and external constituents, support for employee recruitment, and other processes/functions to ensure smooth operation of the advising unit.
  • Manage and carry out the petition entry/filing process for the college; serve as liaison between advising unit and Vol Core petition process; coordinate with advisors, directors, registrar team and others to facilitate the review and resolution of course petitions in a timely manner.
  • Support and/or manage the planning and execution of unit and college programs and events, including commencement; returning/new student advising; Venture LLC; honors and student success initiatives; unit gatherings, retreats, meetings; and other unit or college events.
  • Assist with the management of the student worker program including hiring, onboarding, ongoing training and other forms of student worker guidance to support the effective and efficient operation of the unit.
  • Attend unit and college meetings, participate in professional development opportunities, and support other unit/college initiatives and special projects as needed.

  • Education: High school diploma or GED required
  • Experience: Proven experience in administrative support roles in office or customer service environment.
  • Knowledge, Skills, Abilities:
    • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
    • Excellent communication and interpersonal abilities, with a customer service-oriented approach.
    • Proficiency in office software applications, including Microsoft Office suite and database management systems.
    • Ability to utilize technology for cloud-based file storage, room reservations and event scheduling.
    • Ability to work both independently and collaboratively in a fast-paced environment, demonstrating flexibility and adaptability.
