Job description

Administrative Assistant

In this challenging role, you will be supporting the TPT-Transportation department at Greenville Technical College. Duties may include any or all of the following.

Administrative & Department Support

Provide daily administrative support to the Department Head, including scheduling, calendar coordination, meeting preparation, and follow-up communication.

Serve as the primary point of contact for students, faculty, visitors, vendors, and industry partners.

Manage department email accounts, phone lines, and walk-in traffic, ensuring timely and professional responses.

Prepare reports, correspondence, spreadsheets, presentations, and documents as requested by the Department Head.

Assist with organizing department-wide activities, including orientations, program tours, career days, advisory board meetings, and outreach events.

Maintain department files, records, and documentation in compliance with institutional and state retention policies.

Personnel, and HR Coordination

Process and track adjunct faculty contracts, including ensuring accurate load calculations, submission deadlines, and HR routing.

Assist with processing contracts for work-study students, lab assistants, and special assignments.

Coordinate onboarding steps for new adjuncts and temporary employees, including schedules, ID badges, technology access, and required training (PD4Me, safety, etc.).

Maintain faculty credential files, rosters, and compliance-related documents.

Dual Enrollment (Duals) Support

Serve as the administrative liaison for Dual Enrollment / Early College (Automotive, Auto Body, Diesel) courses.

Work with faculty, high school coordinators, and college staff to ensure accurate course scheduling and roster management.

Track student paperwork, permissions, and onboarding steps for dual enrollment programs.

Assist with communication to partner high schools regarding schedules, safety requirements, lab access, and documentation.

Maintain accurate records of dual enrollment enrollments, grade submissions, and attendance verification.

Procurement, Purchasing & Budget Support

Process purchasing requests for equipment, materials, consumables, tools, safety gear, and supplies needed for high-use technical labs.

Manage P-Card transactions including receipt collection, documentation, reconciliation, and compliance verification.

Coordinate with vendors for quotes, order tracking, deliveries, and invoice resolution.

Assist the Department Head in monitoring budgets, preparing financial reports, and supporting audits.

Scheduling, Courses & Faculty Support

Assist with building and revising class schedules each semester, including room assignments and faculty availability.

Support faculty with copying, printing, supplies, book orders, and course materials.

Student Support & Front Desk Operations

Provide students with information on program requirements, course registration, safety procedures, tutoring, and available resources.

Assist students with connecting to the correct services on campus.

Facility, Lab & Safety Coordination

Support lab safety compliance through documentation, reporting, and communication with the Department Head and Safety Office.

Submit and track work orders for facilities, custodial needs, and equipment repairs.

Assist in coordinating tours, vendor demonstrations, program showcases, and special events in the labs.

General Operations

Maintain office supplies, equipment, and organizational systems.

Prepare agendas, minutes, and follow-up items for department meetings.

Perform other duties as assigned to support the Department Head and ensure smooth operation of the Automotive, Auto Body, and Diesel programs. Position posted pending SC position reclassification

Minimum Qualifications: A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.

Preferred Qualifications: Experience working in technical education programs (Automotive, Auto Body, Diesel, or similar fields). Familiarity with procurement processes, P-Card procedures, and state compliance requirements. Experience supporting multiple departments or high-volume programs. Ability to manage inventory, track supplies, and support ordering of materials and equipment. Prior experience assisting with onboarding adjuncts, contractors, or part-time staff. Knowledge of basic safety procedures in lab or workshop environments. Bilingual (English/Spanish) communication skills.
