Job description

The specialist assists in coordinating schedules, tracking program deliverables, maintaining records, supporting customer requirements, and facilitating communication across engineering, operations, supply chain, quality, contracts, and sales teams. The role is critical in ensuring program efficiency, compliance, and timely execution of mission-critical surface ships pump products and related systems.
Key Responsibilities
  • Support day-to-day IPT program activities for after market and Navy-related product lines.
  • Assist Program Managers in tracking schedules, milestones, deliverables, and production status to ensure program execution within scope, budget, and timeline requirements.
  • Coordinate cross-functional communication between engineering, operations, supply chain, quality assurance, manufacturing, contracts, and finance teams.
  • Maintain program documentation including meeting minutes, action item logs, risk registers, customer correspondence, contract records, and configuration management files.
  • Support development and maintenance of program reports, dashboards, and KPI metrics related to cost, schedule, quality, and delivery performance.
  • Assist with monitoring hardware deliveries, material status, procurement updates, and production schedules.
  • Support preparation of customer presentations, technical reviews, internal status reviews, and management reporting packages.
  • Help ensure compliance with applicable federal regulations and customer requirements including ITAR, DFARS, Navy specifications, and internal quality standards.
  • Participate in program review meetings and assist with tracking corrective actions and follow-up activities.
  • Support financial tracking activities including purchase orders, invoice coordination, budget updates, and cost monitoring.
  • Assist with proposal support, contract administration activities, and customer data requests when required.
  • Coordinate travel arrangements, meeting logistics, and documentation support for customer visits and program reviews.
  • Maintain organized electronic and physical program records in accordance with company and government requirements.
  • Provide administrative and operational support to the Pumps Submarine IPT leadership team as assigned.

Knowledge, Skills & Abilities
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to manage multiple priorities in a fast-paced defense/manufacturing environment.
  • Effective written and verbal communication skills across technical and non-technical teams.
  • Proficiency with Microsoft Office Suite including Excel, Word, PowerPoint, Outlook, and Project.
  • Ability to interpret schedules, reports, and program tracking documentation.
  • Ability to work collaboratively within cross-functional Integrated Product Teams (IPTs).
  • Experience supporting Navy, Maritime, Aerospace & Defense, or industrial manufacturing programs preferred.
  • Familiarity with ERP/MRP systems and document control systems preferred.

Education & Experience
  • Associate's or Bachelor's degree in Business, Engineering, Project Management, Supply Chain, or related field preferred.
  • 2-5 years of experience supporting program management, project coordination, manufacturing operations, or defense-related programs preferred.
  • Experience in Navy/Maritime, submarine systems, pumps, valves, fluid controls, or industrial manufacturing environments is a plus.
  • Experience supporting government contracts or regulated industries preferred.
