Job Summary
Our agency is committed to providing excellent customer service, operating with integrity, and treating our clients & agents like extended family. The Front Office Administrative Specialist role is vital to creating a welcoming and professional office environment. This position is onsite and serves as the first impression and point of contact for the agency, while managing daily front office operations and administrative services.
Primary Responsibilities:
Front Office & Reception
  • Greet guests and team members in a friendly, professional manner
  • Answer, screen and direct phone calls
  • Conference room and appointment scheduling
  • Open and close the office as needed
  • Manage office supplies, equipment and inventory
  • Receive, sort, and distribute mail, packages, and deliveries
  • Perform light office errands as needed

Administrative Services
  • Use Microsoft Outlook, Teams and RingCentral for communications
  • Data entry and reporting using Microsoft Excel and internal CRM program.
  • Monitor, review and submit applications.
  • Light accounting for vendor invoices and commission inquiries
  • Print and prepare materials ensuring compliance
  • Provide general administrative support to Agency Director
  • Assist with the planning, coordination, and execution of sales events and trainings
  • Assist with special projects and additional duties as assigned

Primary Skills & Requirements:
  • High School Diploma or equivalent required
  • 2+ years of front office or administrative experience required
  • Experience with Medicare or Health Insurance preferred
  • Strong communication and customer service skills
  • Professional demeanor with a positive attitude
  • Strong organizational and multi-tasking abilities
  • Manage multiple priorities in a fast-paced environment
  • Detail-oriented, dependable, and service-focused
  • Proficiency with Microsoft Office programs (ex. Excel, Outlook, PowerPoint, Teams)
  • Ability to lift up to 20 lbs. as needed
  • Reliable transportation required

The general pay scale for this open position is $20 - $25. Pay for a selected candidate will be determined within the pay scale based on one or more of the following factors: candidate's experience, skill set, education level, and/or insurance license.
