The University of Miami's School of Education and Human Development has an exciting opportunity for a full time Graduate Program Manager to work in Coral Gables, FL.
The Graduate Program Manager provides administrative and operational coordination for graduate programs across the full student lifecycle, from first contact with a prospective applicant through alumni engagement after graduation. The role currently supports two programs, the Mental Health Counseling master's program and the Counseling Psychology doctoral program, which together comprise the largest graduate programs in the School and having experienced a 120% increase in year to year enrollment since 2020 and currently serves over 100 students including Master's program (n = 60 non-waivered credits) annual cohorts of approximately 50-60 students. The role will expand to additional graduate programs in the department or school as needs evolve. Freeing up faculty from time-consuming but required (due to certification and accreditation) administrative tasks, the position serves as a central point of coordination for recruitment support, admissions operations, student engagement, (APPIC) internship and practicum coordination, documentation, liaison and student preparation, qualifying exam, field-based sand tandardized testing coordination, licensure guidance and documentation, alumni relations, and accreditation data collection and analysis, curricular coordination, management, and support. The manager works closely with program faculty and university and external partners to keep these programs compliant with their respective accreditation standards and responsive to the needs of students at every stage.
Reporting Relationship and Key Working Relationships
Reports to the Senior Vice Dean, Academic Affairs. May provide work direction to graduate assistants or student workers. The manager works closely with:
- Core faculty, lecturers, and adjunct faculty in the supported programs, currently the Mental Health Counseling Master's program and the Counseling Psychology Ph.D. program.
- Practicum site partners and site supervisors.
- Department chairs, department and school managers, and academic affairs staff.
- The Office of Academic Affairs.
- University offices such as admissions, registrar, financial aid, marketing, and student services.
- External units, including government relations, the institution's accreditation office, and the program accreditors, MPCAC for the master's program and the APA Commission on Accreditation for the doctoral program.
Key Responsibilities
- Recruitment and admissions. Support faculty recruitment efforts, serve as a first contact for prospective students, and manage the admissions workflow including application tracking, interviews, and enrollment steps for both programs.
- Student engagement. Coordinate orientation, cohort events, professional development, peer mentoring, and wellness programming. Track student progress, monitor retention, and connect students to campus resources.
- Practicum coordination. Support the master's and PhD practicum coordinators by helping to maintain site partnerships and affiliation agreements, tracking supervised hours, and verifying supervisor credentials.
- Licensure and certification guidance. Maintain current information on licensure pathways, work with program director to advise master's students on the NBCC, CPCE examinations and doctoral students on the psychologist licensure path, and publish required licensure disclosures.
- Alumni relations. Maintain the alumni network, organize alumni events and mentoring, and collect outcome data.
- Accreditation data and reporting. Collect and analyze lifecycle data, and prepare the statistics and outcome data required by MPCAC and APA in coordination with faculty and the accreditation office.
- Regulatory awareness. Monitor changes to MPCAC and APA standards and to state licensure laws, and update materials and disclosures accordingly.
- Communications and events. Manage program communications and serve as liaison among students, faculty, partners, and university offices.
- Cross program flexibility. Provide similar recruitment, engagement, practicum, and data coordination for other graduate programs in the department or school as program needs and enrollment grow.

Minimum Qualifications:
Required
- Bachelor's degree in counseling, psychology, higher education, or a related field.
- Three years of experience in higher education program administration, student services, or academic advising.
- Experience managing data and producing reports, and comfort with student information or CRM systems.
- Strong written and verbal communication and the ability to advise students professionally.
- Strong organizational skills and the ability to manage multiple programs, deadlines, and stakeholders.
- Working knowledge of FERPA and a commitment to confidential, ethical handling of student records.
Preferred
- Master's degree in counseling, psychology, higher education, student affairs, or a related field.
- Familiarity with MPCAC standards for master's counseling programs and APA Commission on Accreditation standards for doctoral counseling psychology programs.
- Knowledge of state licensure pathways for counselors and psychologists, and of the national counseling examinations.
- Experience coordinating practicum, internship, or field placements.
- Experience with program assessment or accreditation reporting.
- Proficiency with spreadsheets, dashboards, and survey tools.
Any relevant education, certifications and/or work experience may be considered.
