PURPOSE: The role of the Development Coordinator is to support the development department as well as Youth Haven's administrative office by providing administrative and clerical support to Youth Haven's Executive and Development staff. The Development Coordinator is expected to demonstrate initiative, organization, accuracy, professionalism, responsiveness, and strong attention to detail. This position requires the ability to manage multiple priorities, meet deadlines, work independently, and proactively identify an address administrative or event-related needs.
FUNCTIONAL RESPONSIBILITIES:
Communications:
• Monitor and manage Youth Haven's general information email account (Info@), responding to inquiries appropriately and routing messages to the appropriate staff member in a timely manner.
• Answer and direct incoming phone calls and serve as a professional, welcoming first point of contact for visitors, donors, volunteers, and community partners.
• Maintain organized and accurate electronic and physical records and handle donor and organizational information with appropriate confidentiality.
Fundraising & Special Events:
• Serve as the primary administrator and day-to-day operator of Youth Haven's One Cause event platform, including building and maintaining event pages, managing registration and event information, monitoring activity, troubleshooting issues, generating reports, and ensuring the platform is fully tested and operational before and during events.
• Collaborate with the development team on the planning and execution of fundraising and donor events, providing administrative, logistical, registration, and event-day support.
• Assist with event communications, invitations, guest lists, materials, supplies, and post-event follow-up.
Donor Relations:
• Respond to donor inquiries promptly, courteously, and professionally, providing information when appropriate and ensuring inquiries are directed to the appropriate staff member.
• Maintain and update donor and event-related lists, records, and information, ensuring accuracy and confidentiality.
Office Administration:
• Provide administrative and clerical support to the Executive and Development teams, including scheduling, correspondence, document preparation, filing, and general office coordination
• Manage calendars and assist with scheduling meetings, appointments, and other Development and Executive activities
• Provide administrative and logistical support for Youth Haven's annual Christmas toy drive, including maintaining lists, coordinating communications and materials, and assisting with event and distribution logistics.
• Perform other administrative duties and special projects as assigned in support of the Development Department and Youth Haven's mission.
EMPLOYMENT STANDARDS:
• Bachelor's Degree in related field or an equivalent combination of relevant education, training and expertise sufficient to perform the essential duties of the position
• 1 year experience in fundraising, marketing, or development
• Familiarity with DonorPerfect or other donor database software a plus
• Excellent oral and written skills as well as interpersonal and networking skills
• Highly skilled in all Microsoft Office programs
