Summary

Performs project-specific duties in support of the Program Manager and supports the needs of the program staff. Performs duties requiring a good working knowledge of CAE's operations and a detailed knowledge of the Services Department. Provides general support to Program Managers and supports the administrative needs of the program staff. Conducts research and performs analysis related to training services initiatives.

Essential Duties and Responsibilities

  • Reviews, coordinates, and tracks contractually deliverable CDRLs and other documentation. Documentation liaison for the TSSC and subcontractors.

  • Establishes uniform correspondence procedures and style practices. Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records

  • Coordinates programs, events, or conferences with facilities and caterer, issuing information and invitations, coordinating speakers, and controlling event budget

  • Composes and prepares confidential correspondence, reports, and other complex documents including meeting minutes, agendas, schedules, and presentations

  • Performs liaison function between remote site personnel and corporate resources

  • Maximizes office productivity through proficient use of appropriate software applications. Researches and develops resources that create timely and efficient workflow

  • Assists with the preparation of proposals, as required

  • Updates Integrated Master Schedules with guidance from Program Manager

  • Produces ad hoc reports for the Program Manager and/or Program Management Organization

  • Ensures timely reporting of cost and schedule information to the Program Management Organization.

  • Recommends improvements to the organization's processes and participates in the implementation of those processes

  • Assists Program Analysts with Deltek Costpoint structure set-up as needed

  • Tracks Purchase Requisitions for subcontractors and materials to ensure they are moving through the system efficiently

  • Tracks Cost-Reimbursable No-Fee (CRNF) and Surge CLIN reporting; provides estimates of usage to the Government for travel and material budgets

  • Supports O&M and Mod PMs on various program related items as needed (ex: PWS revisions, Mod proposal development/review, CBA Adjustment data gather, etc.)

  • Other duties as assigned

Qualifications and Education Requirements

  • Bachelor's Degree in business, operations management, or in a related field or an equivalent combination of education and related experience.

  • Minimum 2+ years of experience in project oversight, analysis and/or administration

  • Proficiency in Microsoft Office Products: Windows, Word, Excel, Project and Power Point

  • Good verbal, written, and interpersonal skills

  • Able to handle multiple tasks concurrently

  • Attention to detail and follow through is imperative

  • Must be able to travel and work flexible hours and overtime, including occasional weekends

  • Must be familiar with all office equipment such as: fax machine, copy machine, and printer

  • Must be detail oriented and highly organized

  • Customer service skills and assertiveness to deal diplomatically with employees at all levels

  • Attentiveness to deadlines and the ability to prioritize in a fast-paced environment

  • Must be able to work with minimal supervision

Security Responsibilities

Must complywith all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.

  • Must be eligible for DoD Personal Security Clearance
