Job Summary:

The Swatch Program Coordinator is responsible for the overall coordination, administration, and continuous improvement of the company's Swatch Program. This role oversees the lifecycle of all swatches from supplier coordination and inventory planning to internal communication, system management, and program execution.


The Swatch Program Coordinator works cross-functionally with Product Development, Sales, Marketing, Customer Service, overseas agents, suppliers, and warehouse teams to ensure the swatch program remains accurate, organized, customer-focused, and aligned with business objectives.


About the Role:


  • Swatch Program Management
    • Maintain and manage the company's comprehensive swatch database across warehouse and direct container businesses.
    • Coordinate all swatch program activities to ensure accuracy, consistency, and timely execution.
    • Ensure overseas agents and internal stakeholders are regularly updated regarding new swatch introductions, changes, and discontinuations.
    • Work closely with the U.S. team to ensure swatch libraries are updated throughout the year and prior to trade shows.
    • Develop and maintain standardized processes and documentation related to the Swatch Program.
    • Identify opportunities to improve efficiency, organization, and turnaround times within the swatch process.
  • Supplier & Vendor Coordination
    • Liaise with suppliers to order fabric rolls and materials for swatch memo production.
    • Coordinate rug swatch orders with applicable suppliers and vendors.
    • Manage communication with vendors regarding swatch production timelines, replenishment requirements, and delivery schedules.
    • Coordinate the receipt of swatch rolls and production into finished swatch memos.
  • Inventory & Product Lifecycle Coordination
    • Monitor all new swatch introductions to ensure timely setup and replenishment planning.
    • Maintain oversight of swatch inventory levels and coordinate replenishment requirements with internal teams.
    • Track and document swatches shipped to and from factories, vendors, and internal departments.
    • Compile swatch specifications and information required for memo labels and system setup.
    • Ensure completed swatch memos are properly received into the inventory system and available for ordering.
    • Coordinate with internal teams to ensure swatches are launched accurately on the company website.
  • Cross-Functional Collaboration
    • Communicate all swatch updates, additions, and removals to Sales and internal stakeholders.
    • Work closely with the Marketing team regarding branding elements, collateral, and promotional materials related to the Swatch Program.
    • Submit and coordinate photography requests for all new swatch memos.
    • Partner with Customer Service, Product Development, Sales, Marketing, and Warehouse teams to support business priorities and customer requirements.
  • Customer Service & Administrative Support
    • Monitor the company's dedicated swatch email account and ensure inquiries are responded to within established service timelines.
    • Process swatch-related administrative tasks including order entry, invoicing, and payment coordination as required.
    • Maintain accurate records and reporting related to swatch activity and inventory.

  • Diploma or Degree in Business, Marketing, Interior Design, Fashion, Supply Chain, or related field.
  • Minimum 2-3 years of experience in program coordination, product administration, customer service, inventory management, or related role.
  • Highly organized with exceptional attention to detail and accuracy.
  • Strong communication, coordination, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong collaboration and relationship management skills.
  • Proficient with Microsoft Office applications, particularly Excel.
  • Experience working with inventory systems, ERP systems, or product databases is an asset.
