Job description

POSITION SUMMARY
With minimal supervision, the Maintenance Coordinator (MC) is responsible for directing the maintenance workflow and readiness of all planned and unplanned maintenance activities across the refinery to ensure the safe, efficient, and reliable performance of refinery processes. The role ensures alignment with operations to minimize production impacts and makes every effort to protect the delivery of safe, reliable, and environmentally compliant weekly maintenance schedules. The MC leads Pre-Work efforts prior to the execution phase, facilitates communication between departments, and supports a culture of continuous improvement and proactive maintenance practices.
EDUCATION REQUIREMENTS
  • High School Diploma or equivalent required
  • Associate's or Technical Degree preferred in Maintenance, Engineering, or a related field

EXPERIENCE REQUIREMENTS
  • 5+ years of maintenance coordination or supervisory experience in a refinery or heavy industrial setting
  • 2+ years operations/maintenance coordination preferred
  • Working knowledge of maintenance planning tools (e.g., IBM Maximo)
  • Strong communication and organizational skills
  • Ability to interpret work packages, schedules, and technical drawings
  • Proficient with Microsoft Office Suite and CMMS systems
  • Understanding of PSM elements and work control practices
  • Efficient oversight of the MOC process and Mechanical Integrity, including the PM program
  • Efficient with Microsoft Office Suite required
  • Efficient in Maximo required
  • Demonstrated ability to prioritize maintenance needs of process unit
  • Must have a good working knowledge of the refinery process units
  • Must have good communication skills verbal and written. Must be able to provide clear and direct instructions
  • Understand how all units of the refinery interact. Know the cause and effect of operational changes and the impact it will have on other refinery processes.
  • Ability to work with people, good listening skills and problem-solving skills
  • Must be fluent in English, oral and written
  • Ability to work extended hours and respond to urgent work, including weekends when required

MAJOR ACCOUNTABILITIES
  • Coordinate all maintenance work including scheduled, unscheduled, and emergency repairs
  • Develop a daily work list in collaboration with Operations, balancing priorities and available resources
  • Review work packages with supervisors to verify execution readiness and safety compliance
  • Walk down jobs to confirm scope, resource needs, and job conditions
  • Ensure labor, materials, and services are in place prior to execution
  • Directs maintenance activities as time, tools, and material are available for optimal use of maintenance resources
  • Identify, document, and track scope changes and newly discovered work to ensure accurate planning, scheduling, and project execution.
  • Ensure the MOC process is followed and implements and manages MOCs as necessary
  • Confirm and ensure work is properly closed out in the CMMS system
  • Collaborate with services coordinator and planning teams to ensure timely support (scaffolds, cranes, permits, specialty tools, etc.)
  • Support turnarounds and outages with coordination of job readiness and asset availability
  • Approves and Communicates all Work Orders by:
    • verifying accuracy and completeness of job scopes and equipment identification,
    • providing feedback to the technicians when notifications are not properly entered or are entered with insufficient descriptions,
    • ensuring the appropriate priority is assigned,
    • ensuring the requested work creates value relative to the current business environment,
    • ensuring RCA is initiated where necessary, and
    • ensure the MOC process is followed and implements and manages MOCs as necessary.
  • Monitor backlog, upcoming work, and workforce loading to ensure:
    • PMs are executed as scheduled or appropriate documentation is completed to support any exceptions
    • PMs are continuously improved and/or optimized to maximize value to the equipment reliability
    • Routine Maintenance and Engineering backlog is maintained at an acceptable level
  • Develops and adheres to maintenance schedules by:
    • Providing prioritized list of jobs to scheduling
    • Providing prioritized list of jobs to planning
    • Reviewing preliminary schedules to ensure they meet the needs of the process units and are in line with the maintenance budget.
    • Acts as liaison between operations and maintenance groups on any problems adhering to the schedule
  • Providing schedule information to the Area Foremen and/or Shift Supervisors for equipment preparation needs.
  • Work with reliability, planning, and operations to improve job planning, reduce rework, and enhance asset availability
  • Regularly communicate with supervisor work progress, concerns and questions
  • Exposure to work near potentially volatile and combustible materials and chemicals

  • Efficient coordination and execution of maintenance work
  • PMs are completed per metric and PM system is continuously improved to meet operational needs
  • Timely identification and communication of scope creep and emergent work
  • Full alignment between operations and maintenance teams
  • Proper documentation of job closeout, delays, and work history
  • Sustained improvement in work execution KPIs such as schedule compliance, backlog management, and wrench time
  • No unaddressed delays in critical maintenance tasks
  • The MC is expected to perform at least 40 hours per normal work week of MC tasks as outlined above
  • The MC contributes to department procedures, manuals, and training documentation to support all are current and in an accurate state
  • Quality and timely results in a driven team player
  • Must follow the Safety Rules and Regulations of the company
