Position Summary:
We have an exciting opportunity to join our team as a Program Coordinator. The Office of Professional Development at NYU Grossman School of Medicine seeks a Program Coordinator to coordinate and execute student engagement, recruitment, and professional development initiatives funded through the New York State Collegiate Science and Technology Entry Program (CSTEP).
This student-facing role manages day-to-day program operations, student organization coordination, conference funding, and event execution. The coordinator will collaborate with faculty, administrators, and student leaders to deliver programs that strengthen community and professional development across the medical school. This role is responsible for delivering programs that enhance student experience, retention, and professional readiness This role also offers the opportunity to collaborate across departments and gain experience in program development within academic medicine.
The Program Coordinator reports to the Senior Program Manager for Engagement, Mentoring, and Professional Development (CSTEP Director).
Job Responsibilities:
Recruitment and Outreach:
  • Independently manage logistics for recruitment events, webinars, fairs, and campus visits

  • Implement outreach efforts to prospective medical students and trainees and advise on engagement approaches to enhance pathway programs

  • Maintain and update tracking systems for accurate records of outreach activities, attendance, and expenses

  • Respond to inquiries from prospective students, providing information about educational opportunities and pathways at NYUGSOM

  • Manage and execute logistics of major recruitment events, including welcome receptions, virtual open houses, and second-look programs

  • Develop, maintain, and continuously update a comprehensive alumni tracking system for NYU Grossman School of Medicine OPD graduates, ensuring accurate records and ongoing engagement initiatives

Student Engagement and Programming:
  • Serve as the first point of contact and primary liaison for 13 OPD-supported student organizations, providing advisement on event planning, policies, and operational processes

  • Independently manage scheduling and facilitation monthly meetings with student leaders of OPD-funded student organizations and oversee implementation of student-led initiatives throughout the academic year

  • Co-lead the development and delivery of student organization and student leadership training during orientation

  • Partner with the Senior Program Manager planning and logistics for student participation in national and regional student conferences

Manage and execute logistics of highly-visible initiatives and major community-building events aimed at fostering a sense of community across the medical school
Serve as an OPD facilitator for medical student educational seminars
Program and Event Management:
  • Manage implementation of programming and contribute to planning efforts in the following key CSTEP areas, including:

  • Supporting, Educating, and Enriching care across Differences (SEED) Mentoring Program

  • Queer Mentor Advising Program (QMAP)

  • Pathways to Medicine Program (BS to MD Pathway)

  • Manage and execute logistics of community building events for students, trainees, and faculty at NYUGSOM, ensuring smooth operations and alignment with program goals

  • Drive execution of Professional Development programming for medical students and contribute to ongoing enhancement, including signature initiatives such as, but not limited to:

  • Annual State of Women in Science and Medicine program

  • Women in Sub-Surgical Specialty programs

  • Affinity and First-Generation/Low-Income (FGLI) programming

  • Professional Clothing Closet

  • OPD Book Club

Partnerships and Operations:
  • Collaborate cross-functionally with stakeholders across Education, Faculty, and Academic Affairs (EFAA) to design and deliver joint programming, such as wellness programming

  • Provide high-level operational support of major school/EFAA events such as White Coat Ceremony, Deans Honors Day, and Graduation

  • Develop and deliver content for OPD communications by documenting events and providing curated content for outreach channels

  • Manage and maintain recruitment and event inventory, including promotional materials and event supplies, anticipating and repurchasing as needed

Conference Funding, Assessment and Administration:
  • Manage the processing of student conference funding requests for scholarly research presentation at conferences, including tracking submissions, reviewing documentation, and timely processing of all financial reimbursements

  • Track event scheduling, participation, feedback, and outcomes to ensure program evaluation and reporting goals are met

  • Synthesize and evaluate recruitment, engagement, and retention data to inform reporting and programmatic improvements

  • Provide high-level operational support to the Office of Professional Development, as assigned by the Senior Program Manager or other office leadership

  • Perform other related duties as assigned

Work Environment
This position is primarily campus-based, with a minimum of three in-person days per week. Additional on-site time may be required during peak programming periods. Evening events and limited travel are expected, including attendance at approximately three conferences per year (two recruitment and one professional development).
Additional Information: This position is funded through external grant support. Continuation is guaranteed through 2030.

Required Qualifications:
Bachelors degree
Minimum of three years of experience in higher education, student affairs, program coordination, or a related field
Strong organizational, verbal and written communication, and time management skills
Demonstrated ability to manage multiple projects and deadlines
Experience planning events or programs
Proficiency with Microsoft Office; experience with survey or data tools such as Qualtrics is a plus
Ability to work effectively with diverse populations
Sound judgment, professionalism, and problem-solving skills
Minimum Qualifications:
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.
Preferred Qualifications:
Masters degree
Five or more years of experience in higher education or student support programs
Experience working with or being a student in opportunity programs such as STEP, CSTEP, EOP or HEOP
Demonstrated commitment to expanding access and participation in STEM or health professions education
Qualified candidates must be able to effectively communicate with all levels of the organization.
