Job description

JOB SUMMARY:

The Center for Strategic and International Studies is a non-profit, bipartisan public policy organization established in 1962 to provide strategic insights and practical policy solutions to decision makers concerned with global security and prosperity. Over the years, it has grown to be one of the largest organizations of its kind, with a staff of some 250 employees, including more than 120 analysts working to address the changing dynamics of international security across the globe.

The Wadhwani AI Center at CSIS conducts high-impact research on the policy implications of artificial intelligence, with a focus on national security, geopolitics, economic competitiveness, and global governance. Since 2023, the Wadhwani AI Center has been shaping the global conversation on AI policy through expert analysis and as a trusted source of insights for the U.S. government as well as international allies and partners. Our team frequently advises bipartisan U.S. government officials and civil servants, including via Congressional testimony, private briefings, and published reports. As part of our research, we regularly engage with leading AI companies and academic researchers.

The Wadhwani AI Center is hiring a Program Coordinator (PC) or Program Manager (PM) who is highly motivated, professional, and has a strong interest in program operations. The PC will support the administration and operations of the Wadhwani Center and will be responsible for a wide range of project components, including management support for program projects, managing program events, managing the program's website and publications process, and supporting financial reporting in collaboration with the Program Director. This position is administrative and requires excellent time management skills and careful attention to detail. Candidates should function well in a fast-paced team environment, adapt quickly to a wide variety of programmatic tasks, and have strong communications and project management skills.

The minimum salary for this position is $55,000 for Program Coordinator and $60,000 for Program Manager based on experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Essential functions may include, but are not limited to the following:

Administrative
* Manage day-to-day office operations.
* Support the management of program finances, including project-related budgets, expenses, drafting and renewal of donor MOUs and other official agreements.
* Support senior program staff, including through logistics, scheduling, and program communication and collaboration with other CSIS departments and operations.
* Manage external communications, including maintenance of contacts databases, sending of event invitations, and dissemination of program publications and media products in all formats.

Project Management
* Support program in management of projects, including monitoring funding, research, preparation of publications, organizing events, and supervising promotional activities.
* Manage virtual and in-person public and private events, including speaker recommendations, scheduling, agendas, tracking RSVPs, and liaising with the audio-visual and events teams.

KNOWLEDGE, EDUCATION, AND EXPERIENCE:

* B.A. required.
* Exceptional organizational skills, attention to detail, and communication skills, including the ability to effectively coordinate with project stakeholders in the public, academic, and private sectors, and coordinate with a diverse team remotely and in-person.
* Experience planning and executing public and private events.
* High proficiency in Microsoft Office products is required. Advanced Excel skills are a plus.
* Working proficiency in social media like Twitter is required, as is an ability to use video conferencing software like Zoom and Teams. Experience with drafting newsletters and other external communications is a plus.
* Experience with budgeting and Salesforce is a plus. Experience with nonprofit fundraising activities is a plus.
* Able to exercise effective judgment, sensitivity, and creativity to changing needs and situations.
* Familiarity with and interest in artificial intelligene and emerging technology policy issues and a passion for project management is a plus.
* Must be available to work in-person at CSIS headquarters in Washington, DC.
