Production Operations Coordinator
Location: New York, NY (Hybrid)
Schedule: MondayThursday onsite | Friday remote
Pay Rate: $23.00/hour (W2)

Job Overview

Our team is looking for a highly organized Production Operations Coordinator to support the day-to-day execution of merchandise production and fulfillment operations. In this role, youll help manage the complete lifecycle of purchase orders, production tracking, shipment coordination, and inventory movements to ensure products are delivered accurately and on schedule.

This position plays a critical role in supporting high-volume merchandise launches by partnering with vendors, logistics providers, finance, and internal cross-functional teams. Success in this role requires exceptional attention to detail, strong organizational skills, and the ability to thrive in a fast-paced production environment with multiple concurrent priorities.

What Youll Do

  • Manage purchase orders throughout the production lifecycle, including creation, revisions, tracking, and fulfillment.
  • Coordinate inbound and outbound shipments for eCommerce merchandise, ensuring timely movement of products and materials.
  • Maintain accurate production, shipment, and inventory records within ERP systems and internal tracking tools.
  • Track products through production, work-in-progress (WIP), and transit while proactively identifying potential delays.
  • Schedule and coordinate quality inspections with suppliers and third-party inspection partners.
  • Review packing lists, shipping manifests, invoices, and receiving documentation to ensure accuracy.
  • Process goods receipts for incoming inventory within the ERP system.
  • Prepare shipment documentation and distribute inbound shipment notifications to internal stakeholders.
  • Partner with vendors, factories, freight providers, and 3PL partners to ensure on-time delivery and complete shipment visibility.
  • Support Finance by coordinating billing documentation and invoice processing for international partners.
  • Monitor production timelines and maintain reporting dashboards to improve delivery performance and production visibility.
  • Collaborate with Product Development, Brand Management, Logistics, and Finance to resolve production issues, shortages, damages, and order discrepancies.
  • Assist with reporting, production analysis, and continuous process improvement initiatives.

Minimum Qualifications

  • Experience managing purchase orders from creation through shipment and fulfillment.
  • Experience supporting production, supply chain, merchandising, manufacturing, or operations environments.
  • Experience working with ERP systems such as Microsoft Dynamics Navision or similar platforms.
  • Advanced Microsoft Excel skills, including VLOOKUP/XLOOKUP and Pivot Tables.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Experience collaborating with vendors, suppliers, and cross-functional business teams.

Preferred Qualifications

  • Bachelors degree or equivalent practical experience.
  • Experience within apparel, fashion, retail merchandising, consumer products, or manufacturing industries.
  • Experience using Monday.com or similar project management software.
  • Knowledge of production planning, inventory management, and logistics operations.
  • Experience coordinating quality inspections and shipment documentation.
  • Proficiency with Microsoft Office and Adobe Acrobat.
