Job description

POSITION OVERVIEW: The Procurement Assistant is responsible for the full lifecycle of Master Services Agreement and support documentation primarily supporting government facility management and construction programs, with the ability to support commercial lines of business as business needs warrant.
The role requires competent knowledge of government regulations, subcontractor insurance requirements and database updates, Reps & Certs review and updates, and government procurement practices, along with the ability to translate those disciplines into commercial contracting environments when applicable.
ESSENTIAL RESPONSIBIILTIES:
  • Draft and issue MSAs (Master Service Agreements) and other required documentation including tracking, review and update insurance requirements.
  • Issue task orders up to the competitive threshold currently at $25K.
  • Interpret and apply government contract and procurement regulations and ensure proper clause flow-down and file documentation.
  • Maintain a database of subcontractors for facility management and construction services, i.e. electrical, HVAC, plumbing, landscaping, janitorial, fire/life/safety.
  • Maintain current subcontractor documentation, including representations and certifications, insurance, licensing as needed, and compliance records as needed.
  • Process contract modifications and change orders; assist in resolving performance issues, invoice discrepancies, and disputes for task order issued.

QUALIFICATIONS & EXPERIENCE:
  • Minimum 2 years' experience in contract administration within a government contracting structure.
  • Demonstrated experience supporting government facility management, operations & maintenance (O&M) and/or facilities construction contracts.
  • Experience developing vendor management processes.
  • Strong communication skills.
  • Familiarity with procurement systems with standardized processes, including audit protocols.
  • Proficiency in Microsoft Office Suite; advanced Excel skills preferred.
  • Experience working with ERP, contract lifecycle management, or procurement systems.
