Administrative Assistant (Accounting Firm)

Milton, Ontario | Full-Time | In-Office

$50,000 - $5,000 + Benefits

Our client, a well-established and growing CPA firm in Milton, is seeking a professional, organized, and detail-oriented Administrative Assistant to support both the firm's accounting team and senior leadership. This is an excellent opportunity for someone who enjoys working in a professional services environment and thrives in a fast-paced office setting. The successful candidate will play a key role in keeping the office running smoothly, coordinating client communications, managing administrative processes, and providing executive support to the firm's partners.


What You'll Be Doing

Administrative & Executive Support

  • Manage calendars, appointments, and meeting schedules for partners and senior staff.
  • Coordinate client meetings, conference calls, and office events.
  • Prepare engagement letters, client correspondence, reports, and presentations.
  • Screen, prioritize, and respond to emails and phone inquiries.
  • Maintain electronic and physical filing systems.
  • Assist with document preparation, scanning, and organization for client files.
  • Coordinate office supplies, vendor relationships, and general office administration.
  • Support partners with travel arrangements, expense reporting, and special projects.

Client & Accounting Administration

  • Serve as the first point of contact for clients, providing exceptional customer service.
  • Assist with onboarding new clients and maintaining client records.
  • Track engagement deadlines and assist with workflow coordination.
  • Prepare and distribute tax organizers, engagement packages, and client documentation.
  • Collect and organize information required for tax filings and financial statements.
  • Assist with billing, invoicing, accounts receivable follow-up, and payment processing.
  • Coordinate document signatures and CRA correspondence.
