Deals Administration Coordinator

Royal LePage Pinnacle Real Estate is growing, and we're looking for an experienced Deals Administration Coordinator to join our team full-time.

Position Details

  • Position: Full-Time Deals Administration Coordinator
  • Location: Royal LePage Pinnacle Real Estate, Oakville, ON
  • Start Date: Immediate

About the Role

As our Deals Administration Coordinator, you'll play a vital role in supporting our agents and ensuring every transaction is processed efficiently, accurately, and in full compliance with brokerage and regulatory requirements.

You'll work closely with our Broker of Record, management team, and sales representatives to keep transactions moving smoothly from firm to close while delivering exceptional support every step of the way.

Responsibilities

  • Review and process transaction files from firm to close.
  • Ensure all deal files are complete, accurate, and RECO-compliant.
  • Follow up with agents regarding outstanding documentation and deadlines.
  • Maintain organized digital transaction files and brokerage records.
  • Prepare files for commission processing.
  • Assist with listing paperwork, amendments, waivers, and related documentation.
  • Coordinate with lawyers, mortgage professionals, and cooperating brokerages when required.
  • Provide administrative support to the Broker of Record and management team.
  • Respond to agent inquiries regarding transaction procedures and documentation.
  • Assist with additional brokerage administration as needed.

Qualifications

  • Previous real estate brokerage administration experience is preferred.
  • Strong understanding of Ontario real estate transaction processes.
  • Experience with transaction management software (Lone Wolf/Back Office) is considered an asset.
  • Familiarity with TRREB MLS and listing procedures is an asset.
  • Excellent organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Ability to work independently while contributing to a collaborative team environment.
