We work with companies in a variety of industries to help them manage their human resources and payroll. We are a team of professionals who consistently provide our clients with white-glove customer service. We are looking for a positive, self-motivated, dedicated, skilled, customer-focused, and detail-oriented person to join our team and organization.
Job Summary: The Implementation Manager is responsible for leading and coordinating the seamless onboarding and implementation of HR, payroll, and consulting services for Flex HR clients. This role ensures new clients experience exceptional service from day one by aligning internal teams, managing timelines, and driving project success across various systems and service lines. The implementation manager is also responsible for maintaining, managing, and developing the learning management system for use by internal Flex HR employees and consultants.
Job Responsibilities:
  • Manage onboarding of new clients to Flex HR.
    • Lead client onboarding and implementation of HR, payroll, benefits, and/or software systems from kickoff through successful handoff to ongoing support teams.
    • Coordinate cross-functional teams including internal staff, clients, and third party vendors to ensure seamless execution of implementation activities
    • Proactively communicate with new clients thoroughly and in a timely manner
    • Provide detailed recaps of implementation meetings and save documentation appropriately and timely
    • Facilitate discovery sessions in order to identify client needs and match to solutions
    • Create documents, including Core Company Data Sheet (CCDS), SOPs, Benefits overview to institute structure in record keeping and data organization
    • Assess new clients' current HR status using the HR Health Score tool
    • Promote compliance by identifying and developing potential professional relationships (Human Resources Information Systems, Labor Law Posters, E-Verify, etc)
    • Project manage, develop and configure workflow, and troubleshoot issues that arise during the implementation process
    • Track and report metrics related to implementation success, client satisfaction and project timeline.
    • Document client processes and needs with attention to detail and in a timely manner
    • Utilize CRM (Hubspot) to track client communication
    • Attend and actively participate in regular team huddles to stay informed on client needs, share implementation insights, and align on service delivery priorities.
    • Partner with HR Managers, Payroll Managers and Consultants during client handoff to ensure a warm, informed transition with full context on client history, preferences, and open items.
    • Serve as a resource and thought partner for HR Managers, Payroll Managers and Consultants on process questions, system navigation, and cross-functional issues that arise during ongoing client engagements.

    • Identify patterns or recurring challenges surfaced through implementation feedback, and translate these into process improvements or training content.
    • Support cross-departmental communication between Operations, HR, Payroll, HR Consulting, Recruiting, Payroll Tax and Benefits to ensure clients receive seamless, unified service.
    • Identify bottlenecks and challenges, develop and implement solutions

  • Facilitate Learning Management System (LMS) for Flex HR employees and consultants.
    • Own the configuration, maintenance, and administration of Flex HR's Learning Management System
    • Develop learning pathways for different roles
    • Monitor learner progress and completion, generate reports, and recommend improvements to training delivery.
    • Evaluate and analyze training opportunities, responding to feedback and continuously improving practice and use of LMS
    • Develop and update targeted curriculum for various Flex HR positions and departments
    • Moderate webinars

  • Lead key initiatives that support Flex HR strategy.
  • Lead projects for system updates including creation of the project plan, run regular status meetings, ensure full testing and the training of system users.
  • Audit and oversee the Core Company Data Sheet (CCDS) updates related to Flex HR clients.
  • Develop and maintain successful working relationships with the employees, management team and clients to provide effective leadership and support.
  • Lead virtual meetings with clients and with internal and external stakeholders.
  • Develop, customize and memorialize processes & procedures both internally and for external clients.
  • Responsible for completion of special projects as assigned throughout the year by management.
