Job description

We are seeking an exceptional Personal Assistant to support a high-profile principal in Miami Beach. This role centers on the Principal's personal life and family - managing the details that keep a busy household and an active family running without friction. You will work in close partnership with the Senior Executive Assistant, who handles business operations and serves as the primary point of contact for the Principal. Your domain is the personal side: family coordination, children's schedules, personal appointments, errands, and all the moving pieces of day-to-day life that need a capable, organized person driving them.
Before You Apply
We want to be direct, so you fully understand what you are stepping into.
  • Six days a week. Sundays are part of the rotation, not a day off.
  • 24/7 availability. Most evenings are quiet. When they are not, you are reachable.
  • Travel - approximately two months per year, domestic and international, with the family or ahead of them.
  • On Sundays, one assistant covers everything. When it is your Sunday, you handle whatever the family needs - including tasks that belong to the Senior EA on a Tuesday. No lane-protection, no hesitation.
  • This is hands-on work. Driving, errands, pickups, packing, organizing - this is not a desk role.
  • The Principal's standards are consistent and non-negotiable. When a system is established, it is followed every time.

Responsibilities
Personal Life
  • Schedule and manage personal appointments across wellness, medical, and personal care
  • Personal shopping, errands, and time-sensitive pickups
  • Wardrobe coordination and travel packing
  • Maintain the Principal's approved household products list; update and communicate changes promptly

Family & Children
  • Day-to-day liaison to the nanny team on personal and family matters
  • Coordinate children's medical appointments and school communications; relay information same day
  • Track and organize children's health and supplement protocols; brief relevant staff
  • Manage food-allergy and dietary protocols for the children across all relevant staff
  • Prepare travel essentials for family members departing on trips

Nanny Coordination
  • Coordinate nanny scheduling with the House Manager; confirm weekly coverage
  • Ensure behavioral and care protocols are being followed consistently
  • Flag performance or coverage issues to the House Manager promptly

Gifts & Deliveries
  • Log all household deliveries and manage outgoing gifts with proper follow-through
  • Confirm delivery of sent items and notify the Principal

Household Coordination
  • Coordinate closely with the House Manager and Senior EA so nothing falls between domains
  • Step in without hesitation on household or personal tasks when other staff are unavailable

Documentation
  • Maintain household manuals and SOPs; update whenever standards or preferences change
  • Keep records current and accessible to all relevant staff

Sunday & Cross-Coverage
  • Rotate Sunday coverage with the Senior EA
  • Handle whatever the family needs on your Sunday, including EA-domain tasks if needed

What We're Looking For
Someone with strong experience supporting a demanding principal who has the organizational instincts and personal initiative to stay two steps ahead. You are thick-skinned - this is a fast-moving, high-expectation household, and direct feedback is the norm. You are a go-getter - you see what needs doing and you do it without being asked. You are solutions-oriented - you come with answers, not obstacles. You understand that "I tried" is not the same as "it got done." Results are the standard.
Requirements
  • 5+ years as a Personal Assistant, household assistant, or similar in a demanding environment
  • Experience in a UHNW private household or family office strongly preferred
  • Comfortable with hands-on personal and household work; comfortable as an occasional driver (clean driving record required)
  • Strong written and verbal communication
  • Proficient in Google Workspace, Microsoft Office, and willing to learn systems quickly
  • Experience with task management tools like Clickup, Monday, Asana, etc. is preferred.
  • Absolute discretion - non-negotiable
  • Bilingual English/Spanish strongly preferred; familiarity with kosher household standards a plus
  • Based in or near Miami Beach

Schedule
Six days per week availability, Sunday rotation, 24/7 availability, travel approximately two months per year domestic and international. Compensation reflects the scope and demands of the role.
