The schedule for this position is Thursday through Saturday
0900-1700 shift hours with an occasional requirement to work additional hours in order to meet deadlines.ย

Job Summary

Key duties and responsibilities include assisting the Manager in oversight of the daily operations of Lookout residential, shelter and outreach programs. The Coordinator directs and provides oversight under the direction of the Program Manager regarding residential, shelter and outreach programs, ensuring all clientele receive the pertinent service; that the goals and philosophy of the Society and programs are met, maintaining a minimal barrier, open door service to adult men and women who are disenfranchised from other services. The Coordinator responsible for assisting in leadership personnel management including scheduling, payroll, filing, expenses, mileage, petty cash, taking meeting minutes, etc. This position assists in the preparation of the project planning, program budgets, and monitors and approves expenditures, and provides required reporting and financial documentation. This position maintains and report out on services, ensuring all regulations including health & safety are met. The Coordinator is responsible for complying with and contributing to all aspects of health and safety program. The Coordinator will as required liaise with the leadership team, the public, other service agencies and professionals. Employees are expected to remain alert and attentive during working hours. Sleeping during shifts is not permitted.\

Respirator Fit Test Requirement

This position requires successful completion of respirator fit testing, as Lookout is COR (Certificate of Recognition) certified and must comply with WorkSafeBC health and safety requirements. To ensure a proper respirator seal during fit testing and use, employees are required to be clean-shaven where the respirator seals against the face.

Job Duties
  • Assist in overseeing, managing, and evaluating assigned residential, shelter, and outreach programs.
  • Ensure program goals, philosophy, and minimal barrier service delivery are maintained.
  • Coordinate the administration of assigned programs, including documentation and reporting systems.
  • Review and enforce operating policies and procedures and recommend policy changes.
  • Liaise with community agencies, government representatives, and internal departments to coordinate services.
  • Assist with hiring, scheduling, personnel administration, and maintaining employee records.
  • Maintain payroll records and ensure payroll transactions are accurate and submitted on time.
  • Support staff development through in-services and continuing education programs.
  • Prepare reports and assist with program planning, budgeting, financial analysis, and expenditure monitoring.
  • Maintain financial records, including petty cash, donations, and service-related accounts.
  • Ensure compliance with health and safety standards, policies, and applicable regulations.
  • Maintain client privacy and confidentiality in accordance with organizational policies and legal requirements.
  • Investigate complaints, address operational issues, and recommend appropriate action.
  • Participate in management meetings, committees, and professional development activities.
  • Perform other related duties as required.
Qualifications & Competence

ย ย  ย Post-secondary education, preferably in Social Services field, or comparable experience
ย ย  ย Two years' experience working in the community social service sector
ย ย  ย Experience with scheduling, payroll, budgeting and human resourcesย 
ย ย  ย Demonstrated knowledge of income assistance, affordable housing and health resources
ย ย  ย A First Aid Training Certificate required and must pass a satisfactory Criminal Record Check with Vulnerable Sectors Clearance
