About the Role

We are looking for a detail-oriented and proactive Sales Operations Coordinator to own the end-to-end production, assembly, fulfillment and shipping of all sales and marketing materials. This role sits at the intersection of print operations, logistics, marketing communications and sales enablement, keeping our field teams equipped and clients well-supported from day one. Key Responsibilities

Sales & Marketing Materials Fulfillment

  • Oversee the end-to-end processing and deployment of all marketing collateral and sales materials.

  • Operate UPS and ShipStation to ship, label, and track all outbound packages with accuracy and timeliness.

  • Coordinate fulfillment for recurring orders, special events, and department-wide campaigns to ensure on-time delivery aligned with sales objectives.

  • Serve as the primary point of contact for all logistics related to internal and external marketing and sales collateral.

Welcome Kit Production

  • Prepare and ship comprehensive welcome kits for newly onboarded Hospitality Agents, including pre-packed roll-up boxes with branded items.

  • Coordinate with HR to obtain information needed for temporary business cards; handle printing, cutting, and packing into roll-up kits.

  • Create and process specialized welcome kits for internal and external sales partners, including pre-packed folders with brochures, contracts, business cards, and personalized welcome letters.

  • Ensure all kits are customized, professionally presented, and delivered on schedule to support onboarding.

  • Oversee coordination, fulfillment and shipping for new hire and new client welcome kits in collaboration with human resources and sales ops teams.

Sales HUB Request Support

  • Monitor the marketing and sales materials HUB and team inbox daily for new requests from sales reps and partners.

  • Assemble and ship packages tailored to individual sales team needs, ensuring accuracy and completeness.

  • Print shipping labels, coordinate logistics, and track shipments to confirm successful delivery.

  • Provide responsive, professional support to sales teams to ensure materials are available and dispatched promptly.

Inventory Management

  • Maintain accurate monthly inventory counts of brochures, accessories, branded items, and all marketing collateral.

  • Update and share inventory spreadsheets with collaborators to ensure transparency and support resource planning.

  • Proactively identify low-stock items and coordinate replenishment to avoid fulfillment delays or shortages.

Qualifications

  • 1–3 years of experience in a fulfillment, print production, logistics, or sales operations support role.

  • Hands-on experience with ShipStation, UPS WorldShip, or similar shipping platforms.

  • Bilingual - strongly preferred. Ability to communicate effectively in Spanish is a significant advantage and required for day‑to‑day communication.

  • Strong attention to detail with the ability to manage multiple concurrent requests and deadlines.

  • Proficiency in spreadsheet tools (Excel or Google Sheets) for inventory tracking and reporting.

  • Excellent organizational and communication skills; able to work cross-functionally with sales, HR, and marketing teams.

  • Self-starter with a proactive mindset, comfortable identifying problems and resolving them independently.

  • A continuous-improvement mindset, consistently identifying opportunities to streamline and elevate current processes.

  • Comfortable leveraging AI tools to work smarter, automate repetitive tasks, and accelerate reporting.

  • Experience with SFDC or similar CRM/request management platforms is a plus.

  • Spoton clients, sales reps and new hires receive their materials and welcome kits on time, every time.

  • Inventory levels are consistently maintained with zero surprise shortages.

  • HUB and inbox requests are actioned same-day or next-day.

  • Shipping accuracy and tracking are reliable, with proactive communication on any delays.

Compensation:

  • Our base pay range is $17.00 - $23.00 for this role

  • Offers will be reflective of the candidate’s location and experience.
