Job description

Staff Assistant, Project Management
Department: Marketing
Direct Supervisor: Senior Director, Marketing
Status: Part-time
Summary:
The Staff Assistant, Project Management, supports South Florida Motorsports by coordinating marketing, digital, creative, and web projects—primarily for the Formula 1 Crypto.com Miami Grand Prix —with additional support for Precision Driving Club and MIA events as needed.
This role helps move projects efficiently from intake and planning through execution, approval, and delivery. The ideal candidate is highly organized, detail-oriented, and comfortable coordinating multiple projects in a fast-paced environment. They will work across internal teams and external partners to maintain timelines, communicate priorities, identify potential roadblocks, and ensure work is delivered accurately and on time.
Location:
  • This is a part-time position based at Hard Rock Stadium in Miami Gardens, FL.
Responsibilities:
  • Coordinate marketing, creative, digital, website, and event-related projects, primarily for the Miami Grand Prix, while supporting Precision Driving Club and MIA events as needed.
  • Build and maintain project plans in Wrike, including tasks, deadlines, assigned team members, approvals, and related work that must be completed first.
  • Work with internal teams and external partners to clearly communicate project needs, priorities, responsibilities, and next steps.
  • Keep projects moving from the initial request through development, review, approval, and final delivery.
  • Track progress, provide regular status updates, and identify delays or potential issues before they affect deadlines.
  • Review project details and final materials to help ensure they are accurate, consistent, on brand, and properly approved.
  • Help improve project management processes by organizing workflows, reducing bottlenecks, and making it easier for teams to work together.
  • Provide on-site project support before and during the Miami Grand Prix and other South Florida Motorsports events as needed.
Qualifications:
  • Thrives managing multiple projects simultaneously
  • Excellent oral and written communicator with great interpersonal skills; able to forge trusting relationships within a diverse team
  • Highly organized and self-sufficient; navigate rapidly evolving situations while maintaining a professional composure
  • Hands-on experience working in a project management system (Wrike, a plus) to manage creative workflow
  • Ability to problem-solve under pressure; anticipate and resolve problems preemptively.
  • Desire to work within a fast-paced, dynamic company
  • Able to work flexible hours, including nights, weekends, and holidays
