The Bilingual Preboarding Specialist will help create a smooth and welcoming onboarding experience for new hires. As the first point of contact in a new employee's journey, you'll serve as a trusted guide-answering questions, helping them access key systems, and ensuring they're set up for success before their first day.
This role is ideal for someone who enjoys interacting with people, is comfortable using HR systems, and takes pride in delivering high-quality service. You'll work both independently and as part of a collaborative team focused on creating a positive first impression and supporting compliance and HR excellence.
What You'll Do:
  • Facilitate pre-hire welcome calls with new hires to explain onboarding steps and expectations.
  • Process I-9 documentation in Workday, ensuring compliance with all requirements.
  • Assist new hires with accessing Workday, Workjam, and UKG, including login support and troubleshooting.
  • Review and explain training requirements, including a suggested timeline for completion.
  • Respond to new hire inquiries through a case management system, documenting and escalating issues as needed using appropriate processes.
  • Research and resolve onboarding-related issues in a timely and professional manner.
  • Handle multiple onboarding tasks simultaneously, prioritizing according to urgency.
  • Work independently on routine responsibilities while supporting broader HR team goals.
  • Actively contribute to improving HR services, processes, and procedures to enhance employee satisfaction and performance.
  • Maintain compliance across all assigned HR shared service processes.
  • Navigate and utilize HR systems, including the Employee Portal, Self Service tools, Knowledge Base, and Case Management platform.
  • Meet service level agreements for task completion and support response times.

What We're Looking For:
  • Minimum of a high school diploma; additional education is a plus.
  • At least 1 year of customer service experience, preferably in an HR or support setting.
  • Workday experience is preferred but not required.
  • Excellent oral and written communication skills to effectively assist and support new hires.
  • Strong problem-solving and customer service skills.
  • Exceptional organizational skills for tracking, documenting, and managing multiple cases.
  • High attention to detail and commitment to accuracy.
  • Ability to work independently while contributing to team success.
  • Proficient in Microsoft Office applications (Outlook, Word, Excel, etc.).
